The Office of International Initiatives at Georgia State University is seeking to hire a part-time Administrative Assistant (Temp).

What Will You Do? This position will assist OII staff with drafting agreements, including filling in template information, reviewing drafts for accuracy and errors, and following up with stakeholders to obtain necessary details.

Duties and Responsibilities Include: Provide guidance to GSU units on the steps to develop an international agreement. Track and manage agreement review, approval, and notification workflows. Assemble print-ready agreements, including preparing and printing GSU-approved agreement for signing. Manage the agreements execution process, including obtaining internal GSU signature sign-off process, partners' signature process, mailing and notification of execution process. Work with OII Data Administrator and student workers to ensure data accuracy in agreements databases for reporting purposes. Update process and user guide documentation for agreement processes. Maintain physical and electronic agreement records. Send timely notifications of expiration to Program Directors to initiate the renewal process of expiring agreements. Ensure timely communication with university and external stakeholders on the status of agreements. Assist with the evaluation of partnership activity, e.g. gathering and presenting data on annual activities. Assist with creating and maintaining historical records about each international partnership, including partner profiles, contact information, and current and past activities. Assist with scheduling meetings and taking notes during meetings. Respond to ad hoc requests for information. Perform other duties as assigned.

Qualifications Minimum Requirements:

Associate's degree and 2 years of related experience; or a combination of education and experience.

Preferred Requirements:

Must have very strong attention to detail, editing skills, and organizational skills. Experience with or ability to learn how to utilize databases such as Sharepoint and MS Access Time management. Written and verbal communication with a variety of internal and external stakeholders, including overseas partners. Knowledge of MS Word, MS Excel, MS Teams.
