Job Title: Senior Coordinator, HR

Classification: Non-Exempt 35-Hour Work Week

Reports to: Associate Director - Human Resources

Grade Level: 7

The Opportunity:

The Senior Coordinator of HR & Payroll is a cross-functional HR professional who supports HR infrastructure, systems, and processes that underpin the employee experience at The Greenlining Institute. This role blends implementation and operational excellence across learning & development, payroll, compliance, HRIS/data systems, recruitment, and cross-org initiatives- ensuring alignment with both organizational goals and the union collective bargaining agreement. This role works with all staff and managers and to support them in the HR and management needs. This position reports to the Associate Director of HR.

The Senior Coordinator partners closely with the Associate Director of Human Resources to manage major Human Resources programs that drive team effectiveness, promote learning, and ensure HR compliance. They also serve as the point person for internal systems optimization, staff data integrity, and payroll execution - all while representing Human Resources in cross-functional teams.

Responsibilities:

Support Organization-wide HR Initiatives

Supports HR leadership in various projects intended to improve the employee experience, promote equity and inclusion, and build organizational commitment. Maintains employee records, processes HR transactions, and ensures accurate documentation in the HRIS. Manages offboarding processes, including exit interviews, equipment return, and final documentation. Supports benefits enrollment, changes, and inquiries, serving as a liaison between employees and benefits providers. Using ADP, assists with administration of human resources policies, procedures, and practices in alignment with Greenlining's values and in compliance with legal requirements. This includes upkeep of relevant HR files, including job descriptions Support staff engagement campaigns and activities. Support hiring teams in recruitment processes by posting jobs, scheduling interviews, and communicating with candidates. Draft offer letters, manage background check processes, and onboarding workflows. Track recruitment metrics and candidate data to support equitable hiring. Manage processes related to I-9 verifications, mandatory training, staff acknowledgments, and employment verifications. Partner on policy implementation (e.g., updated Safety Plans, Handbook rollouts, performance review policies). Performs other related duties as assigned. HR Systems & Data

Manage the day-to-day administration of core HR systems including ADP Workforce Now, Culture Amp, and Google Drive/Docs. Maintain employee records, documentation, and data accuracy across all systems (e.g., status changes, onboarding/offboarding, FMLA, promotions). Represent the People team in Workgroups (e.g, Infrastructure meeting) to ensure our systems reflect evolving organizational needs. Evolve People programs: Strengthen performance, engagement, and retention processes-building solutions that are lightweight, scalable, and aligned with how GLI operates Payroll Administration

Manage the semi-monthly payroll process, ensuring accuracy, timeliness, and compliance. Prepare payroll input files, track timesheets, and process retroactive payments, bonuses, garnishments, etc. Respond to staff inquiries (e.g., benefits, payroll deductions, taxes, leave balances, wage garnishments, employment verifications). Assists with the development and implementation of payroll practices, policies, and procedures. Organizational Learning & Development

Support the implementation of GLI's staff training strategy, in partnership with the Associate Director. Manage organization-wide learning experiences (e.g., performance management workshops, onboarding modules, growth & development sessions). Maintain digital L&D tools and documentation (e.g., manager guides, toolkits, career pathways resources). Coordination of Union Processes and Deliverables

Coordinating trainings needed to comply with the collective bargaining agreement (CBA) and create a positive unionized working environment. Complying with all reporting obligations determined by the CBA. Additional duties may be assigned

QUALIFICATIONS/REQUIREMENTS

HS Diploma or GED required, Bachelor's Degree preferred 2-3 years managing core HR processes in similar roles (e.g, HR Specialist, HR Generalist) or systems (e.g., onboarding, payroll, benefits, learning platforms, etc.) in a non-profit setting Demonstrated experience executing and improving operational systems, such as HRIS, performance platforms, or payroll systems (e.g., ADP Workforce Now, Culture Amp, Airtable) Proven ability to manage multiple people-facing processes (recruitment cycles, onboarding, offboarding, compliance calendars, etc.) with attention to detail and equity-centered practices Experience managing internal learning & development programs, including trainings, onboarding curricula, and tracking systems is a plus Working knowledge of laws and regulations in the areas of HR and/or Payroll. Experience working in a unionized environment. Proficient on Google Suite and ADP WorkforceNow/TotalSource. Team player with the ability to work independently while also supporting the team's goals and members. Ability to think on one's feet in response to changing circumstances. Strong project management skills to manage multiple priorities, stakeholders, and workflows. Excellent written and verbal communication skills. Ability to deliver effective and engaging presentations to groups. Ability to prepare reports and business correspondence. Commitment to excellence and high standards. The scope of responsibilities is not limited to those listed above and may change as organizational needs evolve. Specific work plan goals are developed each year to inform performance targets. This position is a hybrid role based out of Oakland, CA, where a minimum 2 days are required to be in person in the office.

SALARY: The salary range for this position is $76,760 - $85,839.
