Position Summary The Executive Assistant to the Dean of the College of Music provides executive, administrative, and analytical support, interacting with campus offices (including President and Provost offices) and external constituencies while maintaining confidentiality and adherence to protocol.
Position Overview The Executive Assistant coordinates activities and serves as a university-wide liaison, supporting the Dean of the College of Music and coordinating interactions with campus leadership and external partners.
Minimum Qualifications Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities Advanced MS Office skills; knowledge and experience with accounting/budgeting procedures; demonstrated ability to communicate effectively in writing and verbally; ability to work under pressure, handle multiple tasks, and coordinate work of others; strong records management, data assembly, and reporting abilities; ability to conceptualize, plan, and organize multiple programs; ability to handle complex and confidential tasks with tact and resourcefulness; skill in building and maintaining working relationships; knowledge of policies and procedures relevant to the function.
Preferred Qualifications The following additional qualifications are preferred:
Bachelor’s degree in Music
Five years of administrative experience
Experience with CoPilot and ChatGPT
Job Duties Provide executive support to the Dean of the College of Music. Maintain confidentiality, manage the dean’s calendar, ensure information is complete and up to date.
Coordinate special projects and events for the Dean and College of Music, including college annual retreat, concert receptions, faculty end-of-year receptions, and commencements. Support staff and student advisory committees (schedules, agendas, minutes, catering, room reservations, communications).
Collaborate with College Financial Officer by hiring student performers, creating offer letters, and onboarding.
Prepare correspondence generated by the dean; proofread and edit letters, emails, reports, articles, and presentations; develop materials from copy or rough draft.
Manage the Dean’s Office: ensure office hours are observed, develop and maintain records management plan, schedule use of the Dean’s Conference Room.
Identify issues solvable by others in the college leadership team and direct queries to the appropriate person.
Hire and train student workers; oversee tasks such as answering phones, data entry, inquiries, mail distribution, filing, etc.
Physical Requirements Communicating with others to exchange information.
Sedentary work that primarily involves sitting/standing.
Moving about to accomplish tasks or move between worksites.
Environmental Hazards No adverse environmental conditions expected.
Work Schedule 8:00 am – 5:00 pm
