Front Desk Coordinator – Brooklyn OBL
Position Summary The Front Desk Coordinator is responsible for overseeing the front desk operations during surgical days at our Brooklyn OBL. This role is critical in ensuring the smooth intake, documentation, and administrative flow of patient encounters and surgical logistics. The Front Desk Coordinator must demonstrate excellent communication skills, a high degree of professionalism, and the ability to manage multiple tasks in a fast-paced medical environment.
Essential Job Duties and Responsibilities
Greet and check in all patient arrivals in a timely and professional manner.
Always present in the waiting room, ensuring patients are comfortable and attended to at all times.
Represent Integra Vascular with a courteous and professional attitude in all phone interactions with facility staff.
Update and maintain accurate patient status in the electronic medical record (EMR) system.
Print, compile, and prepare patient charts for procedural use.
Send delivery packing slips to supervisor or designated staff upon receipt.
Assist in unloading and organizing medical deliveries, as time permits.
Make post-operative follow-up phone calls to patients, as directed.
Scan and upload all procedural documentation into the EMR within 24 hours of procedure completion.
Maintain a clean, organized, and welcoming front desk and reception area.
Adhere to all HIPAA, OSHA, and company confidentiality and safety standards.
Qualifications
High school diploma or equivalent required; associate’s degree or higher preferred.
Minimum one (1) year of experience in a healthcare front desk or administrative role.
Familiarity with EMR systems and general office software (Microsoft Office, etc.).
Strong organizational skills and attention to detail.
Ability to handle confidential information with integrity and professionalism.
Excellent verbal and written communication skills.
Ability to work independently and as part of a collaborative clinical team.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 25 pounds occasionally (e.g., assisting with supply deliveries).
Ability to move about the office and clinical areas as needed.
Dress Code
Integra Vascular approved black scrubs.
No open-toed shoes or sandals.
Clinically appropriate fingernail length.
Work Environment This position operates in a professional medical office environment. Surgical days may involve extended shifts depending on patient volume and procedural schedules.
Employment Classification This position is classified as
non-exempt
under the Fair Labor Standards Act (FLSA) and is eligible for overtime pay in accordance with applicable federal and state laws.
Pay Range $20.00/hr - $24.00/hr (Base pay range). Pay is based on skills and experience.
