Secretary / Bookkeeper

We are seeking a highly organized and detail-oriented Secretary / Bookkeeper to manage day-to-day administrative and bookkeeping tasks for our construction / roofing operations. The ideal candidate will have experience with AccuLynx software; however, candidates with strong skills in general construction management software or roofing industry software will also be considered. This role involves answering phones, entering work orders, processing invoices, researching permits and licenses, and providing overall office support.

Key Responsibilities

Answer incoming phone calls, take accurate messages, and provide customer support

Enter work orders, project details, and job updates into AccuLynx (or other construction / roofing software)

Prepare and process invoices, and assist with accounts payable and receivable entries

Maintain accurate financial and project records in QuickBooks or other accounting software

Research permit and license requirements for jobs in various municipalities

Coordinate with project managers, estimators, and field crews to ensure timely information flow

Maintain organized digital and physical filing systems for contracts, invoices, and project documents

Assist with scheduling, correspondence, and other general administrative duties
