Administrative Assistant

Job Summary Provides complex administrative support for department management, organizing specific functions related to fundraising, special events, communications, and marketing.
Responsibilities
Assists department with business planning and goal setting.
Assists with the preparation of department budgets.
Maintains budget records, such as reconciling accounts and preparing expenditure statements.
Collects, organizes, and publishes data for special reports.
Assists with implementation of department and University policies and procedures.
Provides administrative support to upper level department management, including answering phones, greeting visitors, scheduling appointments, coordinating meetings, arranging travel, maintaining and ordering office supplies, etc.
Supports and coordinates volunteers as needed, arranging and supporting volunteer committee meetings.
Schedules patient appointments and greets and escorts patients during visits.
Minimum Qualifications Positions may be advertised at several levels. An equivalency statement: 1 year of higher education can be substituted for 1 year of directly related work experience.
Administrative Assistants I:
requires little to no related experience. II:
requires at least 1 year of related experience. III:
requires 3+ years of related experience. IV:
requires 5+ years of related experience.
Vaccination requirement: Must fulfill all patient‑sensitive employee vaccination requirements according to CDC standards and hospital policy, or be approved for a documented exemption.
Preferences Computer‑aided Design experience preferred.
