Our client is seeking a polished and proactive Administrative Assistant to provide exceptional front desk and executive office support. This role serves as the first point of contact for visitors and callers, representing the organization with professionalism and poise. The ideal candidate is detail-oriented, resourceful, and skilled at managing a variety of administrative and office coordination tasks in a fast-paced, executive environment.
This role is fully onsite in Portland, Oregon.
Administrative Assistant Responsibilities
Serve as the primary front desk representative, greeting guests and answering a limited number of incoming calls with professionalism and courtesy.
Maintain a clean, organized, and welcoming office environment, ensuring conference rooms and shared spaces are always presentation-ready for executive leadership and VIP visitors.
Manage conference room scheduling and coordinate meeting logistics, including catering, technology setup, and calendar management.
Provide administrative assistance to leadership and staff, including document preparation, travel bookings, business card orders, and other support tasks as needed.
Assist with special projects and general office organization, including the management of branded materials and promotional inventory.
Support various operational needs such as office supply management, event preparation, and internal communications.
Collaborate closely with team members to ensure smooth daily operations and consistent attention to detail across all administrative touchpoints.
Administrative Assistant Qualifications
Proven experience in administrative, office coordination, or front desk roles within a professional or executive setting.
Exceptional interpersonal, verbal, and written communication skills; polished presentation and professional demeanor are essential.
Strong organizational and time management skills with the ability to multitask and anticipate needs.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience managing calendars, meetings, and conference platforms such as Webex.
Excellent attention to detail, accuracy, and discretion when handling sensitive information.
Strong grammar and writing skills are a plus, particularly for proofreading, editing, or PowerPoint-related tasks.
Ability to work independently while maintaining a collaborative and service-oriented approach.
Valid driver’s license required.
Compensation $18–$22/hr. (DOE)
