Senior Manager - National Recruitment & Client Delivery
About the Role
We are seeking a highly skilled and experienced Senior Administrative Assistant to provide strategic administrative and operational support to senior leadership (e.g., VP level or C‑suite) within our organization. This role requires strong organizational skills, excellent communication, high discretion handling confidential information, and the ability to proactively manage complex schedules & priorities to enhance executive productivity.
Key Responsibilities
Act as the primary point of contact for one or more senior executives: manage calendars, schedule meetings (internal & external), coordinate travel (domestic & international), and prepare detailed itineraries.
Handle high-volume email and correspondence: prioritize/inbox management, draft and edit communications, route items appropriately.
Serve as liaison between the executive(s), internal teams, external partners and stakeholders; anticipate needs and act accordingly.
Prepare reports, presentations, dashboards, and briefing materials for meetings, executive-level functions, and board engagements.
Coordinate special projects, events, conferences, and off‑site meetings—including logistics, vendor management, and budget oversight.
Maintain and organize confidential files, documents, records, and ensure appropriate retention and access controls.
Assist with operational tasks such as budgets, expense reports, procurement or vendor invoices, and tracking action items and deadlines.
Mentor or oversee junior administrative staff, or serve as a resource within the administrative team when needed.
Continuously look for process improvement opportunities and implement best practices in administrative execution.
Qualifications
Bachelor’s degree preferred (Business Administration, Communications, or related field) OR equivalent experience.
Minimum 5+ years of high‑level administrative/EA support (preferably supporting a senior executive or multiple leaders) in a fast‑paced environment.
Demonstrated proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and comfort with digital collaboration tools (Teams, Slack, Google Workspace, etc).
Exceptional verbal and written communication skills.
Strong organizational skills, attention to detail, ability to prioritize and work independently.
Proven ability to handle highly confidential and sensitive information with discretion.
Excellent judgment, professionalism, and ability to navigate complex stakeholder relationships.
Prior experience with event or meeting planning, travel logistics, budget tracking or vendor management is a plus.
Flexibility to work extended hours occasionally and adapt to changing priorities.
