Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Chief Technology Officer (CTO) at Allia Health Group. The ideal candidate will be a strategic thinker with exceptional communication skills, capable of managing complex tasks in a fast-paced and dynamic environment. You will serve as a key support resource for the CTO, ensuring seamless operations within the technology department, as well as facilitating communication across multiple teams. This is a REMOTE opportunity; the ideal candidate will sit in the Eastern United States Time Zone.
Base pay range $85,000.00/yr - $95,000.00/yr
Key Responsibilities Executive Support
Calendar Management: schedule and manage the CTO’s calendar, prioritizing meetings and events to optimize time and ensure critical deadlines are met.
Email & Communication Management: filter and prioritize incoming communications, drafting responses and coordinating follow-ups as needed.
Travel & Logistics: coordinate travel arrangements, including flight, hotel, and transportation for the CTO and, when applicable, the tech leadership team.
Expense Management: process and track expenses for the CTO and ensure timely submission of reports.
Meeting Coordination
Agenda Preparation & Logistics: prepare agendas for meetings, ensure all necessary materials are available, and assist in the preparation of presentations or technical reports.
Note-Taking & Follow-Up: attend meetings as needed, take detailed notes, and track action items and deadlines.
Cross-Team Collaboration: serve as a liaison between the CTO’s office and other teams, ensuring alignment on key initiatives and deadlines.
Project & Document Management
Project Tracking: assist in tracking ongoing technology projects, ensuring progress is monitored and deadlines are met.
Document Management: organize, maintain, and track technical documentation, reports, and confidential materials with the highest level of confidentiality.
Reporting: assist in the preparation of reports, presentations, and data for senior management, board meetings, or other stakeholders.
Strategic Support
Special Projects: support the CTO in executing strategic initiatives, including new product launches, tech research, and R&D efforts.
Team Coordination: work with cross-functional teams, including product, engineering, and marketing, to ensure alignment on key projects and technology initiatives.
Event & Conference Support: organize logistics for the CTO’s participation in industry events, conferences, or speaking engagements.
Qualifications Required
Education: Bachelor’s degree or equivalent experience preferred.
Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar role, preferably in a tech or startup environment.
Technical Acumen: Familiarity with tech terminology, project management tools (e.g., JIRA, Asana), and general software development concepts is a plus.
Organizational Skills: Exceptional time management, multitasking, and organizational skills with the ability to prioritize tasks in a fast-paced environment.
Communication: Excellent verbal and written communication skills, with the ability to communicate effectively with both technical and non-technical teams.
Confidentiality: Strong sense of discretion and ability to handle confidential information with care.
Problem-Solving: Proactive and solutions-oriented with the ability to think critically and anticipate the needs of the CTO and the tech team.
Tech-Savvy: Proficiency in office productivity software (e.g., Microsoft Office, Google Workspace), and experience with tech tools like Slack, Trello, Confluence, etc.
Preferred
Experience in the tech, software development, or IT industry.
Familiarity with project management frameworks such as Agile or Scrum.
Advanced knowledge of data management and reporting tools.
Ability to work effectively across global teams and different time zones.
