We’re partnering with a global alternative investment firm with offices in the US and Europe. The firm is known for its transparent, team-oriented culture, and prides itself on low staff turnover and collaborative work environment. THE ROLE This is a high-touch, fast-paced Executive Assistant role supporting the Chief Financial Officer. The position blends traditional EA responsibilities with personal assistant duties and project coordination. The ideal candidate will be proactive, emotionally intelligent, and deeply attuned to priorities across both professional and personal domains.
Key responsibilities include:
Managing complex calendars and scheduling across time zones
Coordinating domestic and international travel with attention to preferences
Handling incoming calls and filtering outreach independently
Preparing and submitting expense reports; resolving recurring issues with other EAs
Planning and executing internal and external events, including at the CFO’s home
Participating in firm-wide projects (e.g., office buildouts, vendor implementations, travel systems)
Using technology (Microsoft Office, Acrobat, AI tools, graphic design software) to enhance efficiency
Managing household calendar and vendor coordination
Booking personal travel and assisting with home preparations for guests
Tracking budgets and spending for large home projects
This role requires a flexible schedule—generally 8:30–5:30, but with sensitivity to shifting priorities. Some days may end earlier or later depending on department needs.
THE CANDIDATE The right candidate is polished, warm, and highly detail-oriented. They bring a “how can I help” mentality and demonstrate sound judgment across all responsibilities. They’re comfortable navigating ambiguity, managing competing priorities, and contributing meaningfully to both executive and team success.
5–8 years of EA experience, ideally within financial services
A Bachelor's Degree with a 3.5 GPA
Strong ties to Dallas and a desire to stay long-term
High emotional intelligence and discretion
Proactive, curious, and eager to take on more than traditional admin tasks
Comfortable managing a flexible schedule based on prioritiesCollaborative but identifies primarily with the department they support
THE COMPENSATION/BENEFITS
Target salary: ~$90,000 - $120,000 (depending on experience)
5 days in the office
