Administrator, Real Estate Representative - Contract 6-Months
Remote with Travel to Sites
Your Day-to-Day The Administrator, Land Services supports land acquisition, budgeting, vetting and progress reporting processes throughout project lifecycles. We ask that you have knowledge of land acquisition protocols, database management, and coordination to ensure seamless project execution.
Main Responsibilities Process & Documentation
Improve business processes, procedural guidelines to enhance operational efficiency, reduce project costs, and maximize departmental productivity
Following data entry protocols, validate and maintain comprehensive land acquisition data within the Land Tracking Database, ensuring accurate real-time tracking of parcel information, ownership records, agreements, and project milestones to support coordinated decision-making
Create, administer and analyze database reports
Support legal document request submissions through Salesforce platform, maintaining proper workflow protocols and data integrity standards
Monitor agreement request progress through Salesforce platform, tracking milestones and coordinating follow‑up actions.
Serve as liaison between land acquisition teams and Contracts department ensuring efficient data and document flow
Cross-Functional Coordination
Coordinate with county offices, land agents, development, legal departments, and title insurance companies from project conception through operations
Collaborate with third‑party vendors to coordinate invoice processing and communicate project specifications, ensuring understanding of acquisition timelines and deliverable requirements
Coordinate with GIS analysts to support preparation of exhibits and technical analysis
Strategic Project Planning & Analysis
Research and analysis to support land acquisition budgeting and forecasting models
Preparation of PowerPoint slides to support management vetting and progress reporting
Prepare, organize, and monitor administrative processes through document management and meeting preparation
Who You Are
Experience in real property administration/documentation, real estate operations
Microsoft Office Suite, Adobe Pro, database applications, other proprietary software
Administrative background with energy industry experience
Experience managing acquisition documentation
Background in office operations management and vendor coordination
