Job Summary • The University of Chicago’s Biological Sciences Division Office of Academic Affairs seeks a Senior Academic Affairs Specialist. This role focuses on managing compliant search, recruitment, and outreach efforts, and providing case preparation for faculty and other academic appointees. The specialist supports the review and submission of academic appointment, reappointment, and promotion cases, ensuring timely, compliant, and confidential processes. The position also offers professional research and recommendations to improve faculty support programs and human resources management of faculty and other academic appointees. The role reports to the Director of Academic Affairs.

Responsibilities

Works independently to manage key components of day‑to‑day academic recruitment operations.

Processes job postings for faculty and other academic appointments using existing guidance and independent judgment.

Facilitates the review of offer cases, proofs, and releases offer letters for signature.

Supports preparation, review, and submission of academic appointment, reappointment, and/or promotion cases.

Assists in processing visa materials with the University’s Office of International Affairs.

Serves as a resource to faculty and faculty administrative leaders on University policy and BSD academic guidelines.

Resolves routine and complex problems or questions referred by stakeholders, gathering and analyzing data for solutions.

Actively contributes feedback to develop and improve recruitment tools, standards, and practices.

Drafts correspondence on faculty and other academic appointee matters on behalf of the Dean of the designates.

Assists in organization and management of divisional electronic files, databases, and website for efficiency.

Creates training and programming for faculty and chair development.

Prepares and presents analyses, reports, and marketing materials to internal and external audiences; participates on committees and teams.

Performs other related work as needed.

Minimum Qualifications

A college or university degree in a related field.

Experience

5‑7 years of related work experience.

Preferred Qualifications

Strong analytical and decision‑making skills.

Strong attention to detail and ability to manage multiple priorities with limited guidance.

Ability to communicate University and divisional procedures and policy clearly and tactfully.

Ability to partner with different levels of the organization and across functional areas to achieve desired results.

High degree of organization, follow‑through, and project management skills.

Excellent written and verbal communication skills.

Ability to handle sensitive and confidential situations with absolute discretion.

Excellent problem‑solving skills.

Proficiency with Microsoft Word and Excel; Adobe document management; Interfolio portal; willingness and ability to learn new technology.
