Overview
We’re seeking a highly organized and detail-oriented
Legal Secratary
to support multiple attorneys across various practice areas. This role is essential to maintaining operational efficiency, coordinating internal resources, and ensuring the accuracy and timeliness of legal filings and matter management.
What You’ll Do
Coordinate attorney support through the Attorney Resource Team and other departments such as calendar and billing
Ensure accurate, complete submissions to the Attorney Resource Team with clear instructions and supporting documentation
Communicate with case teams to prevent duplicate task requests and promote workflow clarity
Verify court and internal deadlines; proactively notify attorneys to ensure compliance
Create, update, and maintain litigation matters in Virtual Binder
Accurately and timely prepare Tables of Contents (TOCs) and Tables of Authorities (TOAs) using Best Authority
Coordinate and finalize legal documents for court/agency filings and service upon other parties
E-file documents with courts and administrative agencies in full compliance with procedural rules
Manage accurate and timely filing of documents in NetDocuments
Submit New Client Matters (NCM) in accordance with firm protocols
Coordinate transcription of audio recordings and printing/assembly of documents with office services
Maintain attorney contact lists via Outlook and InterAction (CRM)
Submit a daily task log of completed assignments and ongoing projects
May review and revise client pre-bills when necessary
Provide front desk coverage once per week at the Houston office, assisting with visitor coordination and general administrative tasks
What You Bring
5+ years of experience in a fast-paced legal, corporate, or professional services environment
Proven ability to manage multiple attorneys' practices and coordinate tasks under pressure
Strong time management skills and the ability to anticipate and prioritize team needs
Excellent written and verbal communication skills for internal and client-facing interactions
Advanced proficiency in Best Authority, MS Office (Word, Outlook, Excel), Adobe Acrobat
Extensive knowledge of court rules, ECF procedures, and legal terminology
Experience using NetDocuments and Forte to produce legal documents and correspondence
Familiarity with Client Relationship Management systems like InterAction
