Assistant Event Producer – Water Lantern Festival
Join our team as an Assistant Event Producer for the Water Lantern Festival, where you’ll play a key role in creating unforgettable community experiences! In this dynamic position, you’ll oversee 20-40 festival events and directly manage onsite operations for 10-20 events, ensuring seamless execution and exceptional attendee satisfaction. You’ll support team training, collaborate with vendors, maintain venue relationships, and drive innovative onsite revenue strategies. Reporting to the Event Divisional Manager, you’ll use tools like Basecamp and EOS processes to maintain operational excellence and achieve performance goals.
Key Responsibilities
Plan and collaborate on 20-40 Water Lantern Festival events, ensuring alignment with organizational standards.
Lead logistics and execution for 10-20 assigned events, delivering high-quality production and attendee experiences.
Support training sessions through Lantern University to prepare event staff for success.
Maintain high standards for event elements, including lanterns, food, merchandise, and overall experience.
Work with external vendors to ensure timely, high-quality delivery of event requirements.
Contribute ideas and implement initiatives to boost onsite revenue through merchandise, food, and activities.
Foster strong partnerships with venue contacts to ensure smooth operations.
Keep Basecamp updated with accurate event planning, progress, and reporting details.
Complete assigned EOS Rocks to support organizational objectives.
Assist in recruiting, training, and managing event staff for optimal performance.
Achieve a "+" rating in HAPIE and GWC during quarterly reviews to qualify for commission.
Qualifications
Experience in event operations, production, or a related field with a proven track record.
Strong organizational skills to manage 20-40 events and onsite logistics for 10-20 events.
Ability to support team training and development.
Effective collaboration with vendors and contract services.
Excellent communication and interpersonal skills for working with teams, vendors, and venues.
Familiarity with project management tools like Basecamp and EOS processes.
Ability to thrive in a fast-paced environment and juggle multiple priorities.
Passion for creating memorable, community-focused festival experiences.
Reporting Structure Reports to: Event Producer
Compensation
Base Salary: $50,000 annually
Commission: 3% of onsite revenue produced, paid quarterly, contingent on achieving a "+" rating in both HAPIE (our core values: Humility, Accountability, Passion, Innovation, Initiative, and Excellence) and GWC during quarterly performance reviews. (2025 average onsite revenue: ~$10,000 YTD)
