We are seeking an experienced and highly organized
Legal Secretary
to provide comprehensive administrative and clerical support to the A Wages Law Firm, which has served clients in the West Tennessee area (particularly Tipton and Lauderdale counties) for over 40 years in Millington, TN. The firm has a heavy emphasis on jury and non‑jury litigation, wills, power of attorney, including deeds of property between family members. The A Wages Law Firm doesn’t handle real estate closings, divorces, criminal cases, or bankruptcy. A. Wilson Wages has tried approximately 60 civil jury trials, and has extensive experience in appeals to the Tennessee Court of Appeals and Tennessee Supreme Court. The ideal candidate will be meticulous, possess a strong understanding of legal documents, and manage client communications with professionalism and empathy, which is particularly crucial as we deal with good folks in a small town who may have never dealt with a lawyer or law firm.
Job Summary You will be responsible for managing all administrative aspects of litigation, including discovery, and preparation of documents necessary in estate planning and probate workflow, ensuring timely and accurate completion of legal documents, court filings, and client correspondence. Your efficiency will be key to maintaining the smooth operation of the practice area.
Key Responsibilities
Document Production:
Prepare, format, and finalize a high volume of legal documents, including:
Litigation: preparation of complaints for personal injury, discovery to the opposing party, and responses to discovery.
Estate Planning: wills, trusts, powers of attorney, advance healthcare directives, and related letters.
Probate: petitions, notices, inventories, court orders, and accountings.
Case & Calendar Management:
Maintain attorney calendars, docket court deadlines, and manage the case lifecycle for civil litigation and probate and contested probate matters.
Court Filings:
Prepare and electronically file documents with the appropriate Circuit Courts (primarily Shelby, Tipton, and Lauderdale Circuits) and Probate Courts, ensuring strict adherence to local and state filing rules.
Client Communication:
Serve as a primary point of contact for clients, managing scheduling, answering inquiries, and relaying information with sensitivity and discretion.
Administrative Support:
Manage client files (physical and electronic), maintain document retention policies, process client billing, and handle general office support tasks.
Required Qualifications
Experience:
Two years of experience as a Legal Secretary or Paralegal, with a focus heavily in Estate and Probate law, and civil litigation.
Technical Proficiency:
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with legal practice management software (Filevine, Lexis/Nexis, Protégé) and document management systems is preferred. Experience with legal dictation/transcription systems, including ‘Plaud Note’ and AI quality‑assurance tools.
Court Knowledge:
Proven working knowledge of court rules, procedures, and electronic filing systems for Tipton, Shelby, Lauderdale, and Fayette counties.
Skills:
Exceptional written and verbal communication skills, superior attention to detail, and proven ability to manage multiple priorities and deadlines.
Preferred Qualifications
Paralegal Certificate or equivalent legal education.
Notary Public commission or willingness to obtain one.
However, no minimum educational or certification is mandatory for employment.
