Sacramental Records and Office Assistant (Full Time)
Job Summary:
This full‑time position supports Saint Helen Catholic Church by collecting documents for marriage and baptism inquiries, scheduling sacraments, recording sacramental records, preparing certificates, and performing general administrative duties in a cordial manner.
Responsibilities
Support and uphold the philosophy of Catholic ministry and the mission of St. Helen Catholic Church.
Assist clergy in providing orientation and guiding engaged couples throughout the marriage preparation process.
Create, maintain, and update marriage preparation packages, records, documents, files, and logs.
Prepare certificates, record all sacraments and deaths in the books, and add information to the database.
Notify parishes of baptisms and marriages and prepare letters of good standing for external celebrations.
Prepare end‑of‑year marriage certificates.
Provide general administrative and clerical support and serve as the Receptionist’s main backup.
Maintain availability throughout the week to serve the needs of the parish, including pastoral, staff, and volunteer support outside normal office hours.
Qualifications
High School Diploma or GED; one (1) year of full‑time wage‑earning related experience.
Bilingual in English and Spanish (proficient in speaking, reading, and writing).
Must be a practicing Roman Catholic in good standing.
Valid Texas driver’s license; compliance with the Diocese of Austin Ethics and Integrity in Ministry policies.
Knowledge of Roman Catholic teachings, parish and diocesan structure; proficiency in word‑processing, spreadsheets, and database programs; excellent customer service; ability to manage multiple tasks and deadlines; ability to work effectively in a multicultural environment.
Working in a fast‑paced environment with changing priorities; may work weekends, evenings, and some holidays; must adhere to dress codes and conduct standards; may use personal vehicle for off‑site locations.
