Front Desk Associate – Navy Region Southeast Fleet and Family Readiness (FFR)

Welcome to the Front Desk Associate position posted by the Morale, Welfare, and Recreation (MWR) Recreational Lodging Program at NAS Key West. Candidates will support front‑desk operations for a variety of lodging accommodations, including RV parks, vacation rentals, and campgrounds.

Summary The incumbent will perform front desk and reservation functions, utilizing the Property Management System (PMS) to access, modify, or cancel reservations, and will manage guest check‑in and check‑out procedures. Key duties include guest registration, payment processing, room assignment, and customer service, while ensuring compliance with all security and privacy standards.

Duties

Use the PMS to retrieve reservation details, change or cancel reservations, and register guests; verify credit cards for incidental charges and authorize room charges.

Handle customer complaints, involving management when necessary.

Process reservations within established guidelines, and offer waitlist options or alternative lodging when rooms are unavailable.

Assign rooms, maintain records of occupancy and guest accounts, confirm reservations, and collect payments as required.

Prepare Close Bank Reports, deposit cash receipts at shift end following established procedures.

Maintain guest security and privacy at all times.

Provide professional interaction with guests, answering questions about the facility, amenities, and local attractions.

Inventory keys and supplies, and keep the front desk and lobby area clean and orderly.

Run and print reports from the PMS (e.g., Expected Arrivals, Departure List, Night Audit).

Answer and transfer telephone calls.

Log trouble calls in the PMS and notify the appropriate department; relocate guests when needed.

Retrieve lost and found items and notify guests.

Requirements

Must meet federal employment suitability and pass background investigation (fingerprint and background inquiry).

Must pass E‑Verify employment verification; discrepancies must be resolved.

Must complete a Personal Identity Verification (PIV) process requiring two forms of ID from the Form I‑9.

May be required to pass pre‑employment examinations.

A valid state driver’s license is required for operating motor vehicles.

Direct deposit of salary to a chosen financial institution.

Must currently reside within a 50‑mile radius of the hiring base (or meet military spouse criteria).

Irregular working hours (early shift, late shift, evenings, weekends, holidays) may be required.

Compliance with the REAL ID Act; a REAL ID or passport is required for access to government facilities.

Qualifications Applicants should demonstrate at least one year of specialized experience directly related to front‑desk or hospitality operations. Equivalent experience must be at the normal line of progression level.

Knowledge of daily front‑desk operations in a hotel or RV park.

Knowledge of hospitality operation standards and regulations.

Proficiency with automated Property Management Systems.

Skill resolving customer complaints.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Basic math and reading skills.

Ability to handle and account for large amounts of cash.

Effective oral and written communication in English.

All relevant experience must be clearly described in the resume, including duties, responsibilities, and number of hours per week. Volunteer and part‑time experience is accepted when qualified.

Key Requirements / Conditions of Employment

Males must be registered or exempt from Selective Service.

All candidates must be suitable for federal employment and may be required to complete a probationary period.
