Job Description The Administrative Assistant IV performs highly complex executive‑level administrative support with limited supervision. The role reports to the Assistant Clinical Director and provides clerical and administrative coverage to the Medical Staff department, as well as all departments overseen by the Assistant Clinical Director (Psychology, Social Work, Nutrition, Education & Rehabilitation). Key duties include committee support, personnel file maintenance, orientation coordination for students and trainees, data tracking for performance improvement initiatives, and backup coverage for Medical Staff Coordinator responsibilities.
Essential Job Functions
Provides primary clerical support to the Assistant Clinical Director and related committees, tracking agendas, compiling minutes, and disseminating reports.
Manages backup coverage for Medical Staff Coordinator duties such as scheduling, credentialing, primary source verification, and administrative support to the Medical Director.
Tracks data and compiles reports for performance improvement and regulatory compliance, sending outputs to Quality Management, Joint Commission, and Central Administration.
Coordinates placement of students and trainees (e.g., APRN, psychology, social work, medical student interns), including affiliation paperwork, infection control checks, and unit orientation.
Maintains personnel files and assists with personnel actions for staff reporting to the Assistant Clinical Director.
Completes primary source verification of licenses and certifications to ensure active status.
Participates in administrative team meetings and supports infrastructure needs, such as ordering supplies, submitting work requests, and providing temporary assistance.
Assists with disaster response, continuity of operations, and occasional alternate shift assignments.
Knowledge, Skills & Abilities
Advanced time management, organization, and written and verbal communication.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and multifunction copier machines.
Experience recording minutes and coordinating agendas for meetings.
Familiarity with clinical psychiatric terminology and confidentiality practices.
Ability to develop, implement, and evaluate administrative office procedures.
Independence, effective relationship building, planning, scheduling, and multitasking.
Strong file management skills and proactive problem‑solving.
Initial Screening Criteria
Experience in administrative support work.
High school graduate or equivalent (preferable).
Additional Information & Requirements
Applicants must pass fingerprint criminal background checks, pre‑employment drug screening, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE).
All applicants must be at least 18 years old; Waco Center for Youth applicants must be 21.
Flexibility for overtime and extended hours may be required.
Compliance with HHSC immunization policy and state hospital procedures is mandatory; influenza vaccination may be required.
Universal background and work‑eligibility checks (I‑9 verification, E‑Verify) will be conducted.
