Personal Assistant
role may be for you. As the Personal Assistant, you will serve as one of the primary gatekeepers to the company's CEO and Founder (two individuals). Time is the most valuable resource for the CEO & Founder. In this role, your support with personal tasks is essential, allowing the executives to concentrate fully on driving the business forward. In this role, you will be responsible for everything from researching, booking, arranging travel, office management, and personal tasks for the Founder & CEO. Responsibilities
High-Level Administrative Support: Manage personal and professional calendars with precision; schedule and confirm all appointments, travel, and events.
Protect maker time, rest, and family priorities by pre-planning schedules 3–6 months in advance.
Handle errands, gift purchasing, reservations, and personal commitments with efficiency and discretion.
Prepare and track expenses, reimbursements, and receipts for personal and travel-related purchases.
Maintain Asana updates, recurring reminders, and daily end-of-day (EOD) task summaries.
Travel & Event Coordination: Plan and manage domestic and international travel — flights, accommodations, ground transport, and itineraries.
Follow SOPs for proactive booking, reconfirmation, and contingency planning.
Support business and personal event coordination — dinners, small gatherings, off-sites, or celebrations.
Partner with the Head of Household Operations, Executive Personal Assistant, and Executive Protection to ensure safety, timing, and privacy.
Communication & Liaison: Serve as the liaison between the executives and their family, staff, or vendors for personal matters.
Handle communication with warmth, clarity, and discretion.
Uphold confidentiality in every interaction and safeguard sensitive information.
Anticipation & Problem Solving: Anticipate personal needs and resolve logistical challenges before they arise.
Maintain checklists, SOPs, and seasonal calendars for recurring needs (medical, family, travel, gifting).
Handle last-minute changes or crises calmly and efficiently.
Results
Executives’ personal calendars and logistics run seamlessly with minimal intervention.
All travel and personal tasks are handled proactively, on time, and to standard.
Maker time, rest, and strategic focus are consistently protected.
Communication with all internal and external stakeholders is timely, respectful, and professional.
Executives experience a consistent, stress-free rhythm between work and personal life.
Requirements
Experience 3–5+ years as a Personal Assistant, Executive Assistant, or Lifestyle Manager supporting high-performing executives or UHNW individuals.
Experience managing travel, scheduling, and personal logistics.
Skills Strong organization, prioritization, and communication skills.
High emotional intelligence and professional discretion.
Tech-savvy: proficient in Google Workspace, Asana, Slack, and digital filing tools.
Traits Anticipatory, calm under pressure, solutions-oriented.
Trustworthy and reliable with exceptional attention to detail.
Willing to be available outside traditional working hours when needed.
