Responsibilities

Ensure all administrative support functions for the region are completed according to established timelines and meet HCA quality standards of performance.

Provide excellent customer service to clients, visitors, applicants and employees by communicating information, responding to inquiries, explaining details, fielding complaints, and greeting visitors. Answer regional phone lines and manage incoming correspondence, including faxes and mail.

Conduct background checks for new hires, upload results to Employees’ EPF in Paylocity/HRIS, and perform annual registry checks on current employees. Verify driver’s licenses and insurance status in EPF.

Coordinate and onboard all new hires, ensuring all required documents are uploaded to the Onboarding event and correctly labeled in the electronic personnel file. Maintain compliant Employee Personnel Files.

Manage all office‑level billing processes: verify insurance, fix failed activities and claims, and follow revenue cycle directives from the Revenue Cycle Manager.

Provide administrative support to Direct Service Providers (DSP): prepare Intake packets, maintain required folder files, and complete client demographics on DSP forms.

Prepare invoices, reports, memos, letters, and other documents using word processing, spreadsheets, databases, or presentation software. Assist assigned Program Director(s) with payroll processing.

Perform general office duties such as ordering supplies, maintaining records‑management systems, and keeping the office presentable and organized.

Assist in training new hires on documentation and required paperwork processes.

Coordinate and prepare for meetings and events, including distributing agendas and information packets.

Monitor clients’ Electronic Health Records in CareLogic, enter data, produce requested reports, and correct failed activities and claims.

Conduct client chart audits, provide findings, audit discharged clients’ charts, and report results.

Assist with the monthly Medical Assistance Review (MAR) process.

Conduct client, agency, and after‑care surveys, and perform ongoing client Quality Assurance checks as assigned.

Train and supervise other administrative clerical staff.

A high school diploma is required, with strong preference for candidates possessing further business or administrative education.

An Associate’s degree in business or administrative support is preferred, along with a minimum of 3 years of relevant experience in an administrative support position within healthcare or similar settings.
