Overview

Planned Giving Bequest Administration Specialist at Moffitt Cancer Center. This role supports the administration of bequests and related charitable gift programs in alignment with donor intent and institutional guidelines. Responsibilities

Estate Administration: Serve as the primary liaison to manage the bequest/estate administration process from first notification to receipt of final gifts. Monitor, review, and process legal documentation, trust statements and related materials for bequest distribution requirements and restrictions. Communicate with executors and attorneys to ensure timely estates processing. Function as the point of contact for filing claims for inherited IRAs and other accounts, including regular follow up with institutions. Record Keeping & Reporting: Maintain data and donor information in electronic databases and hard files, ensuring accuracy and compliance with procedures, and run monthly bequest gift reports. Compliance: Conduct estate accounting audits for compliance with legal documents and identify potential issues with charges and fees. Research title and ownership of properties, compile tax documents, and use tools (e.g., PG Calc) to calculate tax deductions and present values for gift annuities and trusts. Advise general counsel on problematic estate and probate cases. Charitable Gift Annuity Administration: Ensure compliance with state registration rules for gift annuities, review standards, and recommend changes. Create gift annuity contracts, calculate tax deductions/present value, and track related data points. Planned Giving Administration: Communicate with donors responding to marketing campaigns and inquiries, assist with inquiries, coordinate and follow up for planned giving events, and support department operations (invoices, expense reports, Daily Gift Report). Credentials And Qualifications

Bachelor’s Degree in Philanthropy, Business, Accounting, Finance, Law or related field. Minimum of three (3) years of experience in planned giving, development, law, accounting, or equivalent, including reviewing and processing estate-related legal documents. In lieu of a bachelor’s degree, an Associate’s degree and two (2) additional years of relevant experience will be considered. Excellent verbal, written, and interpersonal communication skills, with ability to explain complex planned giving concepts clearly and compassionately. Strong analytical and research skills with high accuracy and attention to detail. Ability to manage multiple tasks and deadlines in a fast-paced environment. Proficient in Microsoft Office (Word, Outlook, Excel). Experience handling confidential information with professionalism and discretion. General knowledge of legal terminology and processes related to planned giving; experience reviewing and processing legal documentation and communicating with legal professionals. Preferred

5-7 years of related experience in fundraising, planned giving, or similar fields. Paralegal or legal assistant certification; Notary Public certification or willingness to obtain. Knowledge of fundraising databases and planned giving vehicles and related tax/estate planning issues. Job Details
