Working Title: Senior Coordinator of Admin. Operations

Months per Year: 12
Purpose of Position
To provide administrative leadership and management to develop procedures and implement systems related to faculty personnel matters for the Haile College of Business (HCOB) and to support the Dean(s). This includes following University policies and procedures, as well as related practices of the HCOB.
Key Responsibilities Dean & Associate Dean Support
Provide direct administrative support to the Dean and Associate Deans, including calendar management, meeting preparation, travel coordination, and correspondence.
Oversee office operations, ensuring appropriate staffing coverage, managing student assistants, maintaining inventory, and ordering supplies.
Prepare reports, presentations, and professional communications for the dean.
Assist with coordination of meetings, retreats, and travel related to university and external engagements.
Faculty Administration and Support
Provide administrative support for faculty recruitment and hiring processes, including coordination of search logistics and candidate communications.
Assist in managing faculty immigration processes, including H‑1B and green card applications, in coordination with university offices.
Support faculty advancement, professional development, and onboarding initiatives.
Provide assistance related to the International Business program and other academic initiatives.
Meeting Coordination
Provide administrative support for weekly Executive Committee meetings and monthly College‑wide meetings.
Prepare agendas, draft meeting minutes, and ensure timely distribution of materials.
Coordinate with attendees and presenters, manage scheduling, and track action items.
College Event Management & Coordination
Plan, coordinate, and execute logistics for major college events and programs hosted by the Dean’s Office (e.g., advisory board meetings, faculty gatherings, donor receptions, and college ceremonies).
Collaborate with marketing and communications teams to ensure events align with the College’s branding and strategic goals.
Support event communications, invitations, and follow‑up correspondence.
Project and Operational Management
Support strategic initiatives, special projects, and accreditation activities (e.g., AACSB) in collaboration with the Dean and Associate Deans.
Gather and organize data for accreditation reporting in collaboration with the Associate Dean for Undergraduate Programs.
Assist in preparing expense reports, and coordinating with vendors.
Track progress of ongoing college initiatives and maintain project timelines.
Communication and Liaison Functions
Serve as a primary point of contact for the Dean’s Office, maintaining effective and professional communication with faculty, staff, students, and external stakeholders.
Draft correspondence, memos, announcements, and talking points on behalf of the Dean.
Support engagement with alumni, donors, and corporate partners to advance the College’s mission.
Strategic and Academic Support
Assist in the preparation of accreditation documents, strategic reports, and college‑wide communications.
Support the Dean and leadership team in implementing academic initiatives and assessing progress toward strategic goals.
Other duties as assigned by the Dean.
Qualifications Required:
Bachelor’s Degree, two or more years of office management/administrative assistant experience, proficiency in all Microsoft Office applications, ADOBE, and basic office equipment; experience with myNKU/SAP is preferred; ability to lift and work with light objects (generally
The successful candidate will be a self‑starter who can handle multiple tasks simultaneously.
She/he will demonstrate excellent oral and written communication skills, time management, mature judgment, work ethic, teamwork, detail orientation, creativity, ability to work independently, and commitment to results.
Preferred:
Master’s degree in Business or Higher Education Administration.
Experience supporting executive or academic leadership.
Familiarity with AACSB accreditation processes and faculty administration.
