Patient Access Representative I

to support the Diagnostic and Biomedical Sciences department. The ideal candidate will have prior healthcare experience and excellent customer service skills. Patient billing experience is a plus.

Position Summary

This role serves as a key liaison between the Oral Pathology Lab and stakeholders—including contributors, faculty, residents, and dental and dental hygiene students—to ensure accurate and timely processing of incoming specimens. Responsibilities include answering phone calls, responding to email inquiries, and performing various administrative and operational tasks within the lab.

Key Accountabilities

Obtain demographic, insurance, and financial information from patient or guarantor; enter data accurately into the computer system.

Schedule patient appointments and enter required information properly.

Explain required forms and obtain necessary signatures.

Ensure medical necessity compliance, review Compliance System, and obtain signatures.

Protect financial integrity by collecting patient liability, establishing payment arrangements, discussing payment options, and screening for eligibility.

Complete complex financial counseling and submit charity applications.

Verify insurance eligibility and benefits; complete notifications and authorizations within required timeframes.

Post payments in the system and generate patient receipts.

Communicate professionally with physicians, care management, ancillary departments, nursing units, insurance companies, patients, and families.

Adhere to university policies, procedures, and standards; manage time, supplies, productivity, and budgeting.

Promote professional growth by meeting mandatory/continuing education requirements and serving as preceptor or mentor to less experienced staff.

Perform additional duties as assigned.

Certification / Skills

Ability to multi‑task; proficient typing/keyboarding skills.

Minimum Education

High School Diploma or equivalent.

Minimum Experience

One (1) year of experience in a hospital or medical business office setting.

Physical Requirements

Exerts up to 50 pounds of force occasionally and/or 20 pounds frequently; up to 10 pounds constantly to move objects.

Security Sensitive

This position is security‑sensitive pursuant to Texas Education Code and related statutes.

Residency Requirement

Employees must permanently reside and work in the State of Texas.
