The Project Specialist for CVP coordinates several large and complex projects for Cardiovascular Partners, including but not limited to: Transition of CVP practices and staff to HMH, Customer Relations Referrals, Referral Management to support CVP growth plan, Sub specialty Fellowship Coordinator, Recruitment and onboarding new physicians. Each of these special projects need to be planned and managed, and the process needs to be closely monitored to achieve the established goals. Manages purchasing and accounts payable process for all CVP practices and administration. Manages office operations for CVP administration.
Responsibilities
Manage the transition of practice staff to HUMC employees. Develop project plan to include milestones, phases, goals with agreed upon timeframe:
Obtain appropriate job descriptions from Human Resources.
Assist in the evaluation of staff to select correct job titles.
Establish open communication with physician leaders to support initiatives.
Assist with compensation evaluation for staff.
Assist with benchmarks and redesigning workflow for optimization of staff.
Onboard staff and monitor compliance with project goals.
Fellowship Coordinator (Sub specialty Fellowships - Structural Heart and CHF):
Collaborate with Clinical leaders to recruit appropriate candidates for sub specialty fellowships
Manage the HUMC process to prepare approvals to hire fellows
Onboard new fellows and provide ongoing administrative support to these programs
Manage customer relations referrals:
Develop plan with Administrator to screen calls and appropriately refer patients to physicians within their plan at geographically convenient locations who can provide best service.
Provide appropriate referrals to APN in HVH who will screen potential patients and assist in selecting the appropriate physician.
Provide monthly reports on volume, areas for improvement and ongoing referral management issues.
Improving relationship with CVP referring physicians:
Develop plan with Administrator to improve and support relationships with Internal Medicine physicians and CVP partners.
Establish relationship with key referrers to enhance and improve quality and support growth of CVP.
Manage action plans for performance improvement to support practice growth.
Manage Recruitment and Onboarding New Physicians:
Assist in recruitment process, manage FTE and TELT submissions.
Obtaining credentialing documents for Revenue Cycle, and Medical Staff Office and manage process for approvals.
Scheduling Training for EPIC and all required training programs.
Secure office and prepare as needed for new physician.
Provide administrative support to Administrative Director including scheduling meetings, taking minutes at executive meetings, office management for CVP operations.
Manage the purchasing and accounts payable process for all CVP practices. Prepare monthly wires on time with appropriate approvals to ensure practice operations are financially supported
Manage the Responsibility Summary reports for each practice, notifying appropriate leadership to potential issues.
Act as liaison between the practices and HUMCCP for administrative issues. Take initial steps to resolve.
Adhere to the policies of Employee ID, Standards of Behaviors, Attendance, and Punctuality.
Adhere to the standards identified in the Medical Center's Organizational Competencies.
Perform other related duties incidental to the work described herein.
Any other duties and responsibilities as assigned by the Director/Manager.
Qualifications Education, Knowledge, Skills and Abilities Required
Minimum 5 years of relevant experience in office management.
Competent in Microsoft Outlook, PowerPoint.
2-3 years of health care administrative experience.
Excellent customer service experience.
Ability to be pro-active in anticipating the needs of the practices.
Education, Knowledge, Skills And Abilities Preferred
BA degree or equivalent.
Knowledge of practice operations.

Compensation
Minimum rate of $72,072.00 Annually
