New York, NY Full Time 10th September, 2024 Armand Corporation, an award-winning M/WBE Construction Management firm celebrating over 34 years in the industry, is seeking a full-time Document Control Specialist

in all disciplines for a federal construction project related to complex rail, transit, and other transportation projects in NY & NJ. The ideal candidate has

at least 5 years

of experience working with railway and transit construction projects, as well as a

Bachelor’s degree

in a field relating to Construction, Architecture, or Engineering. This position will be full-time, on-site, and will report to our Newark,

NJ

location. Responsibilities

Assist project managers and team members with administrative tasks including document preparation, report generation, data entry, and correspondence. Coordinate meetings, appointments, and travel arrangements for project staff visiting teams and stakeholders. Maintain project files, records, and databases ensuring accurate and efficient documentation of project activities. Manage incoming and outgoing project correspondence, emails, and phone calls, directing inquiries to the appropriate personnel. Support procurement activities including purchase orders, invoices, and vendor coordination. Assist in organizing project events, team building activities, and office functions to foster a positive work environment. Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow. Other related duties and tasks as required. Qualifications

High school diploma or equivalent; additional certification in Office Administration or related field is a plus. Proven experience as an Administrative Assistant, Office Administrator, Document Controls Specialist, or similar role, preferably in a construction or engineering environment. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management, and office software. Strong organizational skills, attention to detail, and ability to multitask effectively in a fast-paced environment. Excellent communication, interpersonal, and teamwork abilities. Ability to maintain confidentiality, handle sensitive information, and prioritize tasks efficiently. Ability to pass a TWIC and/or SWAC Background Check at High Level. Valid driver’s license may be required depending on site location. Strong written and verbal communication skills. Must be authorized to work in the United States. Must be fluent in English (both written and spoken).
