ADEPT Educational Institute of Maine, Inc. is seeking a highly motivated and experienced Project Manager to support our contract with the Maine Department of Health and Human Services (DHHS), Maine Center for Disease Control and Prevention (CDC). This position plays a critical role in advancing health care and public health emergency preparedness across the state. The Project Manager will collaborate closely with the Statewide Healthcare Coalition Coordinator to fulfill Hospital Preparedness Program (HPP) and Public Health Emergency Preparedness (PHEP) deliverables.
Key Responsibilities
Coordinate and manage projects aligned with HPP/PHEP priorities and contractual deliverables Support planning, training, and exercise activities for health care coalitions and emergency preparedness partners Facilitate meetings, collect and analyze data, and contribute to technical writing and reporting Assist in the development of policies, procedures, protocols, and response plans Maintain accurate documentation and ensure timely submission of reports Collaborate with internal teams, external stakeholders, and state partners to ensure program success Travel within Maine (5–20%) to support coalition activities and stakeholder engagement Respond to emergency preparedness needs, which may occasionally require work outside standard hours, including weekends or holidays Requirements: Minimum Qualifications
High School Diploma required; Certificate or Degree in Emergency Management or Public Health At least two (2) years of professional experience in public health, health care, emergency management, or a closely related field Reliable transportation and a valid Maine Class D driver’s license (or equivalent from another state) Ability to lift and move up to 40 lbs; position requires sitting, standing, bending, and repetitive movements Qualifications
Two or more years in a project coordinator or project management role Experience managing health care coalition projects, trainings, and exercises Familiarity with all-hazards disaster planning, ICS/NIMS, and Maine’s health care and public health infrastructure Completion of FEMA trainings: IS-100, IS-200, IS-300, IS-400, IS-700, IS-800 Experience in grants administration and reporting Skills and Competencies
Strong organizational and project management skills Effective communication and group facilitation abilities Technical writing and database management proficiency Ability to work independently and collaboratively in a fast-paced environment Problem-solving mindset with a commitment to partner support and program excellence Equal Opportunity Statement
