Saunders College of Business is accepting applications for the position of Sr. Coordinator, Academic Services. This position provides support for a variety of administrative processes and projects for the Senior Associate Dean and Associate Dean for Research and Graduate Programs in the dean's office. Primary responsibilities include supporting academic services and operations in the dean's office, including but not limited to promotion & tenure, mid‑tenure, faculty affairs, conflict of interest/training processes, accreditation, and college committee support. The coordinator serves as primary liaison for all academic operations/services with the provost's office. In addition, the role provides program management for the PhD program, including financial/accounting management, data management, and event management. The coordinator demonstrates initiative and leadership in facilitating communication with different stakeholders, coordinating tasks, and operating within a team‑based environment by providing backup for other staff in the dean's office as needed. Strong data management skills, including proficiency with Excel and familiarity with data analytics platforms, are required. This position reports to the Associate Dean for Research and Graduate Programs.
Job Responsibilities
Provides management support for PhD program: student onboarding; PhD activities including seminars, committee and advisor meetings, student annual evaluations, comprehensive exams, second‑year project, dissertation defense, and student luncheons; serves as key liaison with graduate office and other PhD program directors/managers; works closely with Associate Dean and student services on student program plan, enrollment, and course schedule; coordinates with university admissions on recruitment/admission activities and processes; key contact for PhD graduation events and ceremonies.
Provides accounting and financial management for Student Research Initiative (SRI) and PhD programs and students: creates program cost projections for the PhD, masters, and Student Research Initiative (SRI) and reviews with the college finance team; plans, develops, and manages the programs' operating budgets with authority to influence or commit the college on financial matters.
Works closely with the Senior Associate Dean to manage, update and revise SCB policies and procedures; makes recommendations on updates to language; works with Senior Associate Dean/department chairs on annual committee assignments/committee charges; contact person with academic senate (AS).
Manages the tenure and promotion committees, coordinating with committee chairs, dean's office, and provost office; tracks information/data regarding SCB promotions, tenure, and mid‑tenure.
Manages faculty annual review process and works with department chairs to ensure compliance with annual faculty evaluation processes; tracks faculty annual evaluation summary data and coordinates with Director of Financial and Administrative Operations.
Manages events for PhD program and other college‑level research initiatives, such as SRI; delegates relevant event tasks as appropriate to other staff (e.g., hospitality).
Manages and facilitates processes associated with FEAD grants, summer scholarship grants, and student research grants; faculty professional leave processes; RIT conflict of interest and training requirements; and faculty emeritus status.
Maintains SCB faculty database, SCB organization chart, and the department structure document for AACSB (accreditation) review purposes; and maintains faculty profile data in the Sedona system as needed.
Coordinates with the Academic Integrity Committee, as needed, and provides guidance on the timeline and proper procedure for reviewing student conduct and grade dispute cases.
Required Qualifications
Bachelor's degree in related field.
5 or more years of experience working in an administrative setting.
Professionalism and ability to handle highly confidential information appropriately.
Ability to work across all levels of the organization, including students, faculty, deans and the provost office.
Strong task and customer service orientation; willingness to take on new challenges and responsibilities as needed.
Initiative in learning new skills, looking for ways to improve process efficiency/project quality.
Strong organizational skills, attention to detail, ability to prioritize and manage multiple tasks, and ability to complete projects under time constraints.
Strong computer skills (internet, Microsoft Office Suite, Outlook email).
Strong data management and analysis skills using Microsoft Excel and familiarity with data analytics platforms/dashboard.
Strong interpersonal skills and an ability to work effectively with others in a team environment.
Good verbal and written communication skills.
Preferred Qualifications
Bachelor's degree.
Experience working with faculty in academic institutions.
