We are looking for an experienced, hands-on, and highly organized Operations & Events Specialist to be the operational backbone for our client-facing teams (Sales, Marketing, and Account Executives).
About the Role
This is a high-impact, hands-on role where you will be essential to supporting our customer-facing functions, directly ensuring the success of our sales-based events, client engagements, and team travel.
You will be the primary driver for all event logistics—from large industry conferences to small, high-touch client dinners—and will be responsible for ensuring seamless execution. We are looking for someone who is proactive, resourceful, and highly self-motivated with a knack for detail and a calm approach to managing complex timelines.
What You'll Do
Your primary focus will be on Event Planning & Management and Client-Facing Logistics:
Own the end-to-end planning and execution of all major sales and marketing events (e.g., conferences, trade shows, and client dinners).
Ensure on-site execution of events, including assistance with set-up, serving as a client liaison, and troubleshooting issues.
Manage all logistics for event booths, including ordering, tracking deadlines, coordinating setup/teardown, and managing shipping and inventory.
Coordinate with the Marketing team to ensure all sales collateral, booth signage, presentations, and branding materials are completed and delivered on time for all events.
Develop standard procedures, workflows, and project management systems for event planning.
Organize and manage travel logistics (flights, accommodations, ground transport) for the Sales, Marketing, and Account Executive teams, including group travel for events.
Coordinate scheduling for sales meetings, both in-person and virtual, among executive team and sales team.
What We're Looking For
2–4 years of experience in event planning, with specific experience in planning for large industry events requiring substantial coordination and booth set-up
2–4 years of experience supporting executives with extensive calendar management experience.
Proven ability to operate autonomously and handle ambiguity.
Exceptional written and verbal communication skills.
Strong organizational, multitasking, and prioritization abilities.
Comfort interacting with customers, often representing the company in high-stakes communications.
Proactive, resourceful, and calm under pressure.
Tech-savvy and quick to adapt to new tools (familiarity with Google Workspace, Slack, etc., is a plus).
