$60,000.00/yr - $80,000.00/yr Job Description: Responsibilities
Lead, coach, and develop a high-performing administrative team—hiring, training, and inspiring staff to reach their full potential. Design, implement, and continuously refine office policies, systems, and procedures to drive efficiency and scalability. Handle sensitive information with the utmost integrity, professionalism, and discretion. Run weekly team meetings to monitor workflow, forecast staffing needs, and align on priorities. Partner with the Director of Administration on monthly labor accruals and cost reallocations to ensure financial accuracy. Oversee the preparation and review of month-end reports, metrics, and reconciliations. Record and review monthly bank reconciliations in QuickBooks and monitor cash flow with precision—preparing weekly cash assessments for ownership review. Support accounts payable and receivable functions, jumping in where needed to keep deadlines on track. Assist with monthly invoicing to clients when required, ensuring accuracy and timeliness. Must Haves
Proficiency in Microsoft Excel, Outlook, and Word, with the ability to learn new systems quickly. Hands-on experience with QuickBooks. Proven success working in a fast-paced, dynamic environment. Strong organizational skills and the ability to juggle competing priorities without dropping details. Prior administrative experience in accounts payable, receivable, and payroll (preferred but not required). A proactive mindset—someone who doesn’t just manage tasks but drives improvement.
