Overview

Lawyers On Demand, a Consilio company, is actively recruiting for a contract Probate/Administrative Paralegal for one of our prestigious law firm clients in Staten Island, NY. This is an on-site position that could lead to remote for the right candidate. Responsibilities

Lead the onboarding process for new probate and estate cases, collecting essential documents such as wills, death certificates, and financial records. Clearly explain probate procedures to clients with compassion and clarity. Maintain consistent communication, promptly addressing client questions and ensuring they feel supported throughout the process. Draft and file various probate-related documents, including petitions, motions, fiduciary notices, accountings, and closing statements. Manage e-filing processes and ensure all submissions comply with court protocols and deadlines. Oversee the full lifecycle of each case, monitoring key dates for claims, objections, audits, and estate closures. Identify and resolve delays proactively to keep cases moving forward efficiently. Assist in locating, valuing, and transferring estate assets, including real property and financial accounts. Support the preparation of estate and fiduciary tax filings by gathering necessary documentation and coordinating with beneficiaries and heirs. Utilize tools like Clio, LexisNexis, and HotDocs to manage digital files, automate document creation, and track case progress. Ensure all records are organized, accurate, and up-to-date. Communicate with external parties such as accountants, banks, insurers, government agencies, and real estate professionals to obtain and verify documentation. Schedule meetings, court appearances, and deadlines, acting as a liaison between attorneys and third parties. Conduct basic legal research and gather relevant case information. Provide administrative assistance to attorneys, including scheduling, file organization, and document handling. Mentor junior paralegals, review their work, and promote consistent practices. Participate in initiatives to improve workflows and enhance departmental efficiency. Qualifications

Minimum 3–5 years of experience in trust and estate administration, with a strong foundation in probate procedures—preferably in New York. Demonstrated ability to manage complex caseloads independently while supporting clients with empathy and professionalism. In-depth knowledge of Surrogate’s Court processes and estate law, including document preparation and procedural compliance. Proficient in Clio, HotDocs, LexisNexis, and e-filing systems. Comfortable with Microsoft Office and digital case management platforms. Highly detail-oriented and capable of managing multiple open cases simultaneously. Strong ability to prioritize tasks and maintain accurate documentation. Experience training and guiding junior staff. Committed to sharing knowledge and improving team performance. Excellent written and verbal communication skills. Maintains professionalism and empathy when interacting with clients and external partners. Reliable, self-motivated, and effective in remote or hybrid work settings. Able to work independently and deliver consistent results with minimal supervision. Equal Opportunity
