Overview
Medical Office Assistant I/II/III - Customer Service (Bilingual Preferred) – County of Ventura Under direct supervision (Medical Office Assistant I), general supervision (Medical Office Assistant II), or general direction (Medical Office Assistant III), the incumbent performs a variety of customer service and clerical duties in support of a health or medical care delivery office or program. Support activities may include assisting the public, records maintenance, document production and/or case management/processing. Distinguishing Characteristics
Incumbents perform customer service delivery, routine clerical and manual tasks including inputting data into computers. The higher level in the series requires application of specialized program knowledge of ongoing operations and services, interpretation of rules and regulations, and assessment of individual circumstances to determine appropriate course(s) of action. Health Care Agency – Ambulatory Care Medical Office Assistants are represented by SEIU and are eligible for overtime compensation. The eligible list may be used to fill current and future Regular, Temporary, Fixed-term, Intermittent, and Extra Help vacancies, including eight (8) Full-time regular vacancies in various ambulatory care departments. Responsibilities
Deliver quality customer service and support by handling high volumes of clients in person or by phone and routing them appropriately amid interruptions. Check patients in and out through the practice management system and verify information; perform cashiering duties and collect co-payments, payments, and outstanding balances. Schedule appointments, update files and EHR, refer clients to appropriate resources, and assist in completing forms while following HIPAA compliance. Communicate with the patient care team to address patient care needs; demonstrate cultural sensitivity and competence with patients. Assist with clerical duties including preparing, validating, and processing documents for completeness; transfer instructions to patient or program files and respond to inquiries; sort, file, and maintain charts and correspondence; type documents; proofread for grammar, spelling, and punctuation; manage patient schedules to anticipate missed opportunities, registration form updates, insurance eligibility, and co-payments. Assist with Office and Facility Maintenance by operating automated office equipment, monitoring waiting areas, assisting with pre-visit planning, and may assist with basic patient care tasks. Perform other related duties as required. Qualifications
These are entrance requirements to the exam process and do not guarantee placement on an eligible list. Education, Training, and Experience Medical Office Assistant I/PDP Six months of clerical experience in a medical or mental health service delivery office with knowledge of medical terminology and procedures, or a certificate from an approved medical assistant program (certificate must be provided at appointment). Medical Office Assistant II/PDP One year of clerical experience with at least six months in a medical or mental health setting requiring medical terminology and procedures. Medical Office Assistant III/PDP Two years of clerical experience, including at least one year in a healthcare setting with medical terminology and procedures. Necessary Special Requirements Demonstrated ability to provide excellent customer service to the public. Willingness to work a fluctuating schedule including days, evenings, nights, and weekends. Desirable Bilingual (English/Spanish) Experience with registration of patrons in a clinical setting Experience working in a clinical setting Knowledge, Skills, and Abilities
Thorough knowledge of medical office operations, terminology, filing systems, record maintenance, and public contact techniques. Depending on level, knowledge of operations, data processing, English usage, and typing/data entry. Ability to work with minimal supervision, establish and maintain records, operate office equipment, and perform basic arithmetic. Working Conditions
Moderate to heavy public contact, including ambulatory or non-ambulatory patients in an outpatient or inpatient setting. Recruitment Process
