The Business Office Manager (BOM) oversees all financial and business office operations of Chalet Subacute, ensuring accurate recording of facility revenue, timely billing, collection of payments, and compliance with federal and state regulations.
Pay Range Base pay range: $100,000.00/yr - $130,000.00/yr. Actual pay will be based on your skills and experience.
Responsibilities
Manage all business office functions: census management, cash management, billing, and accounts receivable, collections, refunds, and trust fund management.
Reconcile daily census balances and cash deposits with bank statements.
Post charges, payments, and adjustments accurately and timely.
Monitor accounts‑receivable aging, develop collection strategies, and address delinquent accounts.
Coordinate accounts‑receivable meetings with the Administrator and office staff.
Execute month‑end close accurately, including the “Triple Check” review for billing compliance.
Reconcile resident trust accounts monthly and manage petty cash.
Compliance and Regulatory Oversight
Ensure compliance with Medicare, Medicaid, managed care, and private payer billing requirements.
Maintain HIPAA confidentiality standards.
Participate in quality management initiatives and audit requests from corporate/government agencies.
Team Leadership and Development
Supervise staff in accounts payable, payroll, and reception.
Provide training, monitoring, and support to ensure accurate and compliant operations.
Foster a positive work environment and professional relationships across departments.
Collaboration
Partner with Admissions to educate residents regarding insurance and liability.
Collaborate with clinical and operational leadership to support financial and operational goals.
Safety and Workplace Standards
Adhere to OSHA and workplace safety standards.
Maintain a safe, clean, and organized work environment.
Qualifications
High School diploma or GED required; Associate’s or Bachelor’s degree in Accounting, Finance, or Healthcare Administration preferred.
Minimum 2 years experience as a Business Office Manager or Assistant BOM in a skilled nursing or long‑term care setting.
Proven experience with Medicare, Medicaid, managed care, HMO billing, and private payors.
Knowledge of SNF reimbursement regulations, accounting principles, and cost reporting standards.
Strong leadership, planning, and organizational skills.
Excellent verbal and written communication skills.
Proficiency with Microsoft Office and accounting software; SNF billing systems preferred.
