Office Assistant 3 - Case Management

Principal Responsibilities
Provide high level administrative support in a clinical area, reporting to the Supervisor of the Case Management area.
Receive, open, log, and accession specimens, blocks, and slides for the department; perform back-up front desk reception duties.
Data entry into laboratory information systems to ensure tracking and monitoring of all cases; provide assistance for the Senior/Lead Clinical Intake Specialist; back-up support with Footprints.
Perform case intake/accessioning of Surg Path specimens with attention to detail; verify patient identity and completeness of requisitions/reports.
Enter case information, verify demographics and physician data; route specimens to appropriate laboratory areas or Pathologists.
Prepare specimens, blocks, slides for routing; provide outreach for necessary requests and materials.
Provide outreach for necessary requests and route materials to appropriate service areas; track problems or changes during case intake and implement corrections.
Request additional material from outside institutions for faculty, fellows and residents; troubleshoot and resolve issues in a timely manner.
Provide back-up support for clinical receptionist tasks: answer main telephones, mail pathology reports, assist in slide room; greet visitors and screen calls.
Perform incidental functions to support office activities and assist staff within Case Management and Slide File Room; perform other duties as required by the Pathology Department.
Qualifications
Required Skills and Abilities
– Demonstrated knowledge of anatomy and medical terminology; familiarity with MAC operating system with average typing skills; excellent communication and interpersonal skills; ability to interact professionally with all levels of staff.
Preferred Skills and Abilities
– Experience in a clinical or healthcare setting, knowledge of medical terminology and regulatory guidelines (e.g., HIPAA); experience with CoPath, Workday, or Epic.
Education and Experience
Four years of related work experience, two of them in the same job family at the next lower level, and high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
