Status: Full‑time, Exempt

Compensation: $65,000 - $72,000 annual salary + bonus

About The Role The Property Management Coordinator provides administrative and operational support to ensure smooth communication and coordination between tenants, vendors, engineers, property managers, and accounting. This is a multi‑state position supporting properties across various regions, requiring adaptability, strong coordination, and consistent communication. The role helps maintain efficient property operations through effective tenant relations, utility management, vendor coordination, and system data accuracy.

Essential Functions

Serve as the main point of contact for tenant inquiries and service requests via phone, email, or tenant portal.

Notify tenants of property events, maintenance activities, and emergency updates across all sites.

Assist tenants with portal setup, navigation, and troubleshooting.

Coordinate tenant move‑ins and move‑outs, including generating and managing all related forms.

Distribute new ownership and welcome letters for newly acquired properties.

Enter, track, and monitor all verbal and written work order requests.

Troubleshoot emergencies in coordination with tenants, engineers, and site staff.

Run monthly open work order reports and provide tenant updates.

Process monthly work order and engineer overtime rebills.

Maintain and update Yardi meter reports; manage new meter setups and replacements.

Coordinate gas, electric, and water transfers for move‑ins and move‑outs.

Set up utility accounts for new properties and ensure proper data entry in Yardi.

Track and provide tenants with utility transfer information prior to move‑in and after move‑out.

Create, route, and track service contracts for signature and filing in SharePoint.

Manage vendor setup packages for accounting and coordinate certificates of insurance (COI) compliance.

Monitor COI expirations, approve coverage limits, and ensure records are updated in Yardi and SharePoint.

Organize vendor site reviews and assist with transferring or initiating vendor contracts for new properties.

Process and track tenant rebills, payment plans, and collections for commercial tenants.

Track Home Depot engineer purchases and verify before posting to tenant ledgers.

Answer tenant questions related to payments, ledgers, CAM, and utility charges.

Assist in closing TI & CAPEX jobs in Yardi and generate associated reports.

Maintain accurate tenant, vendor, and utility data in Yardi.

Run reports for open work orders, CAPEX/TI jobs, and building updates.

Manage Commercial Café access, licensing requests, and property configurations.

Schedule and track engineer and property manager vacations and time off.

Schedule annual inspections, meter installs, and repairs.

Track and support onboarding for new properties, including setup of utilities, internet, phone, and vendor coordination.

Ensure building access control setup for new tenants.

Skills & Qualifications

Excellent interpersonal, written, and verbal communication skills, with the ability to respond quickly and professionally to tenant and team needs.

Strong organizational and problem‑solving skills with keen attention to detail.

Proven ability to manage multiple priorities and maintain composure under pressure.

Proficiency in Microsoft Office Suite; experience with Yardi and SharePoint preferred.

Understanding of administrative and clerical systems related to property management.

Ability to maintain professionalism, accuracy, and efficiency in a fast‑paced environment.

Education & Experience

Associate degree or equivalent required.

Two to five years of experience in property management, facilities coordination, or tenant relations preferred.
