Position Overview
The Office Manager I provides foundational administrative and operational support for a branch office within our engineering and environmental services network. This entry-level leadership role focuses on daily administrative tasks, basic reporting, employee recordkeeping, and supporting branch efficiency while learning company processes and systems.
Responsibilities
Maintain office productivity, supply ordering, equipment maintenance, event planning, and policy compliance.
Prepare invoices, proposals, and reports, and support collection processes as needed.
Track and verify gasoline card expenditures and credit card expenses for branch personnel.
Support employee selection and onboarding; ensure proper completion of new hire paperwork.
Collect, record, and forward personnel records, transactions, and documentation to HR and/or Payroll.
Support benefit plan enrollment at the site level.
Respond to and/or investigate employee inquiries regarding policies, procedures, and programs.
Handle incoming and outgoing correspondence, including emails, letters, and packages.
Create regular reports, correspondence, and presentations.
Greet visitors, answer and direct phone calls, and provide general information.
Communicate with internal and external partners and vendors as needed.
Perform other duties as assigned.
Qualifications
High school diploma with 3–5 years of administrative experience (or equivalent).
Adobe/ERP system proficiency.
Proficiency with Microsoft Office and basic collaboration tools.
Strong attention to detail and communication skills.
Ability to maintain confidentiality and multitask in a dynamic environment.
Familiarity with administrative practices in professional services preferred.
Previous A/E/C industry experience preferred.
Travel Requirements This position does not require regular travel as part of its primary responsibilities. Occasional travel may be required, up to 10%, primarily for off‑site meetings, training sessions, or company events. Travel will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
Primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
Involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
Regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
May include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
