K2 Electric, Inc.
Serves as a key communication and process link between the Estimators, Project Managers, Project Engineers, and Field personnel. Assists the Project Managers with daily management, supervision, coordination, and successful completion of the project(s) to meet schedule and cost objectives. Develops, analyzes, and organizes information to promote division efficiency, assisting in the preparation of pre-qualification documents.
HIGH PAYOFF ACTIVITIES
Initiate and Execute Job Start
Coordinate with estimating coordinator for project turnover meetings with preconstruction, assists Project Managers with project startup utilizing the project startup checklist.
Set project up in Spectrum, assign project number, distribute.
Secure properly executed subcontract and insurance certificates including OCIP/CCIP, prelims, sales tax-exempt certificates, bond requests, and other documents as required to protect the interest of the company.
Create job folders and job numbers on the server, set up PlanGrid.
Prepare subcontract for 2nd tier vendors (obtain insurance).
Track and Manage Information for a Successful Project
Assist P.E. with maintaining electronic file folders and logs.
Create a submittal log based on project specifications and vendors.
Assist P.E. with generating submittals.
Record data during construction phase including WIP, pay applications, change orders.
Lead Project Team Coordination and Communication
Actively participate and/or lead pre-con, post-con @ 25, 50, 75% hours, coordination, subcontractor, scheduling, and other such meetings.
Coordinate and lead weekly Project Team huddle meeting, prepare meeting agenda, control meeting flow to ensure agenda is followed and time restraints are met, take notes and prepare meeting minutes as directed by the project manager.
Initiate and Execute Job Close Out
Maintain and track the project close-out process and prepare accurate O&M, as-builts, warranty information, etc. in accordance with the project specifications or customer requests.
Schedule and coordinate post-con within 4 weeks of substantial completion.
File/release pre-liens by coordinating with the Finance team.
Set up owner training, include service for warranty tracking.

Excellent verbal and written communication skills.

Ability to set priorities, take initiative, and work without a lot of supervision.
Must be proficient in using email, database, internet, spreadsheet, and word processing applications: specifically, Microsoft Office products (Word, Excel, PowerPoint, and Windows).
Demonstrated success supporting a team through complex project execution.
Ability to identify issues and put processes in place to streamline workflow to provide a better experience for both the customer and other team members.
Ability to read and understand bid documents.
EDUCATION & EXPERIENCE
Minimum of 2 years’ experience with administrative experience in a construction, engineering, or contracting organization with project submittals and associated work performed.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
Prolonged periods sitting at a desk and working on a computer.
Must be able to work in a general office setting as well as on the jobsite.
Must be able to traverse and inspect all areas of the jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, or stretching.
Must be able to lift up to 25 pounds at a time.
