Job Summary The Maintenance Manager is responsible for overseeing the installation, repair, prevention, and overall upkeep of an agency’s facilities, equipment, and infrastructure. This role requires a strategic leader who manages daily maintenance activities and drives long-term planning, budget oversight, process improvements, and compliance with safety and regulatory standards. The Maintenance Manager plays a crucial role in ensuring operational efficiency, reducing downtime, and extending the life of physical assets across multiple sites or a large facility.
Primary Responsibilities
Develop, implement, and monitor maintenance plans and preventive maintenance programs to ensure smooth operation of equipment and facilities.
Oversee daily maintenance activities including scheduled repairs, inspections, renovation projects, and emergency repairs.
Lead and mentor a team of technicians and custodial personnel, setting performance standards and providing ongoing training.
Allocate resources and assign work orders effectively to meet operational needs.
Prepare and manage the maintenance budget, monitoring expenses and implementing cost control measures.
Analyze maintenance costs and report on key performance indicators such as downtime and repair frequencies.
Establish and maintain relationships with external contractors and vendors, negotiating service contracts and supervising vendor performance.
Ensure all maintenance activities comply with applicable regulations and safety standards, conducting regular safety audits and maintaining documentation.
Review and optimize maintenance procedures and workflows, implementing modern tools like CMMS or IoT systems.
Generate reports on maintenance performance, facility condition, and project status for senior management.
Collaborate with other sections to align maintenance activities with overall operational objectives.
Knowledge and Skills
Familiarity with maintenance management software and data analytics for decision-making.
Knowledge of mechanical, electrical, HVAC, and plumbing systems.
Strong leadership and effective communication skills.
Decision-making, conflict resolution, and motivational abilities.

Minimum Qualifications High school diploma or GED. At least 10 years of progressive experience in maintenance coordination or facilities management, demonstrating expertise in complex projects. Proven leadership in managing teams and vendor contracts, with practical knowledge of budgeting, preventive maintenance, and safety compliance in complex environments.
