July 2025 The Development & Event Coordinator is a part-time role and a key team member in a dynamic organization that serves students across Western New York. The position supports fundraising efforts by collaborating with the Director of Development, Director of Community Relations, and other staff to meet annual revenue targets. The role also partners with Buffalo Prep’s active volunteer network to advocate for education and raise funds for programs.
Responsibilities
Manage both development activities and events. The fundraising program includes an annual fund, major gifts and grants (individual gifts, corporate support, foundation grants), and growing programs such as the Business Council, Prep Collective, and Alumni Council, in addition to events and donor outreach.
Support an annual appeal program, including biannual appeal letters and online giving days (Give716, Giving Tuesday).
Assist with additional mailings and solicitations (Business Council, Board and Alumni mailings, etc.); collaborate with the development and community relations team on theme and artistic concept.
Oversee matching gift documentation.
Assist with managing volunteers, vendors, and in-kind relationships for mailings and events.
Collaborate with the Director of Development to evolve fundraising strategies and explore new ideas to improve programs and engage new constituents.
Support signature events (Celebration, Party for Prep) with mailing lists, mail merges, and sponsorship follow-up.
Coordinate additional events (e.g., Pregame for Prep, Prep Talk, READI Summit) and help develop event communications for internal and external audiences.
Analyze campaign and mailing outcomes and make recommendations for improvement.
Provide support to staff by assisting with reports and mailing lists; support grant writing and reporting as needed.
Occasional evening, weekend, or additional hours during peak periods as required.
Adhere to Buffalo Prep policies, including the Stop Light Policy and mandated reporting per NYSOCFS.
Uphold a positive, supportive environment for scholars and staff.
Additional duties as assigned by management.
Education and Experience
Associate’s degree required; bachelor’s degree preferred.
A minimum of two years of fundraising or related experience.
Experience in planning and executing special events.
Broad knowledge of fundraising principles and donor rights.
Working knowledge of donor database systems (Network for Good preferred).
Proficiency with Microsoft Office Suite, Canva, and Google Suite.
Knowledge, Skills and Abilities
Proven ability to cultivate and steward donors and corporate partnerships; strong prospecting and donor research skills.
Ability to work effectively with volunteers and donors; detail-oriented with strong organizational, analytical, and planning skills.
Initiative, independence, and the ability to manage multiple tasks and priorities.
Strong self-motivation and teamwork; maintain confidentiality and accuracy in donor records.
Reliable transportation; strong written and verbal communication skills; ability to collaborate with diverse groups.
