Trusts & Estates Legal Assistant
to support attorneys in the
estate planning and administration practice . This full-time, in-office position offers the opportunity to work alongside experienced attorneys in a highly specialized area of law, supporting high-net-worth individuals and families through every stage of estate planning and probate administration. The ideal candidate brings strong law firm administrative experience, deep familiarity with
Florida probate procedures , and the ability to manage multiple tasks and attorneys in a fast-paced environment. What’s in It for You Competitive compensation and full benefits package Opportunity to work with a highly respected trusts & estates team Client-facing role with meaningful involvement in ongoing cases Stability and career growth within a supportive legal environment Key Responsibilities Provide comprehensive administrative support in estate planning, probate, and trust administration matters Prepare and file legal documents with Florida courts, including pleadings, petitions, notices, and court forms Draft, edit, and proofread legal correspondence, client letters, and estate planning documents Maintain and organize electronic and paper case files with accuracy and confidentiality Schedule court hearings, client meetings, and key deadlines in accordance with court rules and attorney availability Coordinate billing tasks including time entry, reviewing prebills, processing payments, and submitting invoices Track and process attorney, client, and firm expenses using billing and reimbursement software Support attorneys with client engagement by preparing meeting materials and coordinating business development events Manage incoming/outgoing mail, phone calls, and email communications Collaborate with other firm departments (conflicts, records, billing, training) to support file opening, case management, and compliance Ensure attorney calendars are updated and aligned with procedural timelines Participate in event planning and marketing efforts related to client outreach and estate planning seminars Other responsibilities may apply based on evolving practice needs Qualifications & Experience Minimum 5 years of legal administrative experience supporting estate planning and/or trust administration attorneys Proven experience in
Florida probate and estate administration procedures Associate’s degree or equivalent experience required Experience working with multiple attorneys simultaneously Strong time management, organizational, and multitasking skills Excellent communication skills with a proactive, client-centered approach Ability to prioritize in a deadline-driven environment and handle sensitive matters with discretion Technical Skills Proficiency in Microsoft Office Suite (Outlook, Word, Excel) Familiarity with legal case and billing software; experience with FileSite, CMS, SmartTime, Aderant, Wealth Counsel, Estate Works, and HotDocs is a plus About the Firm This firm is recognized for its deep expertise in Trusts & Estates law, with a reputation for providing high-touch legal support to individuals and families across Florida.
