About This Position

The Psychology Department is seeking a highly organized and detail-oriented individual to serve as the administrative support for graduate programs and departmental operations. This role functions as the department’s main purchaser, managing all supply, equipment, and furniture acquisitions through OK Corral and PCard transactions. The position also oversees textbook orders each semester for PSYC, SPCH, AMIS, and Tulsa courses, and coordinates honorariums, research participant gift cards, and travel arrangements for graduate students and external guests. In addition to financial and procurement responsibilities, the role supports the daily operations of the front office, including reception, customer service, mail and package handling, key checkout, room reservations, and maintenance of departmental calendars and directories. The coordinator plays a vital role in supporting the Directors of Graduate Studies, Clinical Training, and Experimental Programs through data collection, record keeping, admissions assistance, alumni database management, and event logistics such as colloquia and guest visits. This position requires strong communication and organizational skills, the ability to manage multiple tasks simultaneously, and a commitment to providing excellent service to faculty, students, and visitors. Occasional evening hours may be required to support departmental events, with adjusted work schedules as needed. Responsibilities

Assist Directors of Graduate Studies, Clinical Training, and Experimental Programs with data collection, record keeping, and admissions. Manage alumni database and assist with event logistics such as colloquia and guest visits. Provide excellent service to faculty, students, and visitors; communicate effectively and manage multiple tasks. Occasionally work after 5:00 p.m. for evening departmental events with adjusted schedules as needed. Required Qualifications

High School/GED Administrative Support Specialist I: high school diploma/GED and one year of experience Administrative Support Specialist II: high school diploma/GED and two years of experience Senior Administrative Support Specialist: high school/GED and three years of experience Customer service, office/clerical experience handling various administrative duties and productivity software (Word, Excel, Outlook, Adobe). Post-secondary education may be substituted for experience. Strong computer skills (Microsoft Office Word, Excel, Outlook, Adobe), excellent interpersonal skills, attention to detail, ability to follow instructions, and follow-up on projects. Bachelor’s degree High school diploma/GED and three years of experience Additional Information

Work Schedule: Must be able to work after 5:00 p.m. occasionally for evening events; regular schedule is Monday–Friday 8 a.m.–5 p.m. with adjustments as needed. Employment details
