Admin Assistant - Puerto Rico, Barceloneta - 12 Month Contract
This is a fantastic opportunity for aAdmin Assistant to join our major, global pharmaceutical client on their latest new-build project based in Barceloneta, this is a large-scale greenfield capital project and investing more than $1bn.
Responsibilities: Provide high-level administrative and project coordination support to the Construction and Program Management team. Manage meeting scheduling, prepare agendas, take detailed minutes, and follow up on action items. Track documentation, deliverables, and communications across multiple workstreams. Support onboarding activities for new team members and contractors. Liaise with internal stakeholders and contractors to ensure information flow and task follow-through. Maintain up-to-date org charts, project trackers, and team documents. Support logistics for project kickoffs, leadership meetings, and key milestones. Assist with document management, coordination of vendor information, and general project administration. Train and onboard new administrative team members or project coordinators, ensuring continuity of support as the project scales. Support the creation of process documentation and training materials for team procedures and tools Skills and Experience: Requires extensive experience in a similar administrative or coordination role. Prior experience working on construction or engineering projects (required). Strong organizational skills with the ability to manage multiple priorities and stakeholders. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); Teams and SharePoint experience is a plus. Self-starter with a proactive, can-do attitude and strong attention to detail. Ability to work on-site Experience onboarding/training others or creating process documentation is a strong plus.
