The Project Services Coordinator manages record keeping for training, vehicle, and procurement programs, and assists managers in maintaining each program. This role provides administrative and operational support to the technical services and/or long-term services department, ensuring seamless project tracking, resource allocation, and customer interactions. The position focuses on supporting the Technical Services Manager and team with data and organizational structure for effective project management. There may be other similar tasks to support the Field Services team on occasion.

Administrative Support:
Manage Smartsheet and related platforms for project tracking, including payment management, ensuring project data is up to date and accessible to relevant stakeholders. Order Management:
Coordinate the ordering of tools, equipment, and parts for ongoing projects to ensure resources are available when needed to prevent delays. Financial and Project Tracking:
Monitor revenue generated by ongoing projects and compile reports for the Business Operations Manager. Cost Tracking:
Monitor costs to ensure accurate financial data for budgeting purposes. Customer Relations:
Manage purchase orders, invoices, and quotes; ensure POs are attached to projects and accounted for in the system; create invoices. Support customer issue resolution related to accounts payable before escalation to the BO Manager. Documentation:
Ensure project-related quotes, daily reports, and purchase orders are accurately documented and attached to project trackers. Maintain and track vehicle fleet maintenance and repairs; verify monthly inspections for assigned vehicles; procure new vehicles as requested and coordinate delivery; ensure vehicle registrations are up to date. Coordinate ordering and verify delivery of tools and parts for O&M and Field Service teams; coordinate with vendors for pricing and service; maintain uniform inventory and distribute as needed; ensure a healthy PPE inventory. Coordinate personnel scheduling between O&M and Services teams; manage Work Orders (create, update, track, and close); manage Non-Covered Service tasks (create, submit, and track); provide daily and as-needed Work Order updates; assist with budget tracking. Education and Experience Requirements
Required: BS/BA or AA degree preferred or relative work experience. Proficient in Microsoft Office (Outlook, Excel). Highly organized with 1-3 years of record-keeping experience. Ability to manage multiple projects simultaneously and meet deadlines; strong verbal and written communication skills. Ability to learn new technologies; prior experience in job costing is a plus. Must be organized, detail-oriented, self-motivated, punctual, and accountable; full-time presence in the office. Preferred: Smartsheet program experience. Korean language skills.
