Job Description Summary
Provides receptionist/clerical support assuring patient flow, comfort and satisfaction. Primary responsibilities include but are not limited to: answering phones utilizing a computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, data entry of patient information and insurance verification, providing support to staff members as assigned. The Office Specialist is well organized, highly motivated, customer service oriented, expresses good communication skills, and has strong computer knowledge and skills.
Responsibilities
RECEPTIONIST RESPONSIBILITIES: Greet patients at arrival for appointments, initiate appropriate paperwork, complete patient registration, verify insurance, collect co-pays and outstanding balances, establish payment plans, ensure accuracy of information in information systems and billing systems, and work electronic medical record work queues to correct registration errors.
Responsible for electronic and manual insurance verification and processing of insurance paperwork. Obtain pre-authorization from insurance companies when necessary. Interact with physician offices and other third parties to obtain all necessary paperwork.
Update patient chart electronically or on paper, obtain patient signatures on necessary documents, file paperwork, and notify appropriate clinical staff of patient arrival.
Answer a multi-line phone system, screen calls for office associates, direct to appropriate staff, and ensure phone coverage using a computerized system.
Provide general office and clerical support as assigned by Office Supervisor or Manager, including faxing documentation, completing disability forms, FMLA forms, attorney request letters for reports, patient record releases, and various forms and paperwork (e.g., Industrial C-9s, C-84s, C-86s, Medco 17s, industrial appeal paperwork).
Process Industrial claims in the EMR system, including attaching requested dictation to claims, adding diagnosis allowances and authorization numbers.
Assist in keeping patient charts organized and filed, including scanning and docutrack information into EMR.
Attend staff meetings and continuing in-house education seminars as needed.
Organizational/Office Responsibilities
Sort, distribute, and mail transcription as assigned.
Order and stock office supplies; ensure office equipment is clean and well-maintained.
Provide support to appropriate staff members as assigned.
Minimum Qualifications
High School or GED (Required).
Additional Job Description
1-2 years of previous secretarial experience in health care or medical office or related experience and/or training; or equivalent combination of education and experience.
