The role focuses on Intellectual Property rules, especially Patent and Design maintenance fees and annuities. You will support a team of attorneys and Operations professionals and collaborate with paralegals within the IP Group. Responsibilities include IP portfolio management, instructing Outside Counsel, annuity/renewal tracking and payments, invoice processing, and various data management and analytics tasks. Experience in Patent & Design prosecution for US and foreign matters, and managing annuities, is required or highly preferred. Experience in a law firm or corporate Legal Department is required. Your Team The Global IP Paralegal team handles Patent, Design, Trademark, and Copyright matters and may involve licensing, risk mitigation, IP due diligence, and other IP activities. New members are trained to take ownership of duties, data, and processes while working as a unified unit. The Global IP Paralegal reports to the Manager, Intellectual Property Operations and is part of a team of IP Paralegals within the HARMAN Legal Department. What You Will Do Act as a Paralegal Case Manager for a portfolio of IP cases, including liaising with Outside Counsel, managing Outside Counsel activities, filing paperwork, ensuring data accuracy in the Anaqua IP Management System, and supporting process and system improvements. Maintain and reconcile Patent bibliographic information, due dates, and cost information for US and foreign prosecution and annuity transactions within Anaqua and Legal Tracker. Track correspondence between HARMAN legal team, Outside Counsel, external vendors, and business leaders using various tools and resources (Outlook, Teams, Anaqua, etc.). Track and record technical and strategic information provided by attorneys, IP Review Board members, and business leaders. Manage annuity reviews and payments for Patent and Design matters, including coordination with attorneys, business leaders, outside counsel, and vendors; monitor compliance and propose process improvements; stay current with country rules on annuities. Track and report financial savings, including entering projected savings into Anaqua and reporting to IP Team and Business Leaders using Excel and PowerPoint. Prepare and distribute reports (dockets, cost projections, etc.) for attorneys and stakeholders. Manage monthly annuity invoices, including review, validation, approval, and reporting of costs as needed. Handle data discrepancies for Anaqua annuities, perform Patent bibliographic research, and update Anaqua accordingly. Provide support to the IP team, including backup coverage, creating matters in Legal Tracker and Anaqua, supporting operational improvements, suggesting new technology/process ideas, and assisting with general administrative duties. What You Need to Be Successful At least 6 years of experience in a corporate Legal Department or Law Firm, required. At least 5 years of experience in Patent and Design prosecution, including US and foreign matters, data/docket management in an IP system, data auditing, and strong familiarity with annuities/renewals. Trademark prosecution experience is a plus. Ability to work with databases and software tools; proficiency in Microsoft Office (Excel and PowerPoint required; Teams, Copilot, and Project a plus). Experience managing multiple projects in a fast-paced environment with strong prioritization and independence. Strong attention to detail, organization, and ability to work under pressure; excellent written and oral communication and relationship-building skills. Ability to work independently and with a team; initiative and ability to take direction when needed; willingness to provide feedback and suggest improvements. Fluency in English with business proficiency; knowledge of Legal and IP terminology. Bonus Points if You Have In-house IP or Legal team experience. Experience with the Anaqua IP Management Database (docketing system). Experience creating graphs/charts in Excel/PowerPoint; project management/PMP-related tools. Experience with process development projects and software improvement projects. Experience creating GANTT charts using MS Project; familiarity with e-billing systems (prefer Thomson Reuters Legal Tracker). Experience with AI tools; some college preferred. What Makes You Eligible Willing to work in Novi, Michigan area at least three days per week. Willing to work a 40-hour week with overtime as needed. Willing to be part of a global, diverse, and close-knit team. Willing to travel occasionally to other HARMAN offices or to conferences/trainings (up to 5%). English proficiency and business English. Pay is based on factors including skill, experience, location, and business need. This range is a general estimate and may vary by geography.
