Description
The Office Assistant 2 will perform a variety of administrative and support duties to support efficient office operations. Responsibilities include managing schedules and calendars for program leadership, managing appointments, assisting with travel arrangements, preparing and mailing correspondence, answering and directing phone calls and emails, scanning, filing and organizing documents, managing office equipment including service calls, creating and maintaining presentations, conducting research and compiling data, proofreading and editing documents, and providing administrative support to staff and performing clerical tasks as assigned.
Qualifications Minimum Qualifications
Permanent Transfer: Current NYS employee with one year or more of permanent or contingent‑permanent, competitive service as an Office Assistant 2 G‑9, or one year or more of permanent or contingent‑permanent, competitive service in a position allocated to a salary Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Provisional Promotion: Current NYS Department of Health employee with one year or more permanent or contingent‑permanent, competitive status or 55‑b/55‑c service in an office assistant, clerical or keyboarding title allocated to Grade 6 or higher. Public Candidates (NY HELPS): One year of clerical experience.
Preferred Qualifications
Proficiency in verbal and written communication skills, organizational skills, ability to work independently and in teams to carry out tasks to completion, use of MS Office Suite, and critical thinking skills.
Additional Comments Permanent, Competitive, full‑time. Transfer candidates may be asked for SSN to verify title history and eligibility.
If three or fewer New York State Department of Health promotional candidates respond to this notice, the agency may, at its discretion, nominate a qualified employee for non‑competitive promotion under the provisions of Section 52.7 of the Civil Service Law. Employees must have one year or more of permanent or contingent‑permanent, competitive service in qualifying titles as described on the last Civil Service promotion examination held for this title, #38‑687. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title.
This position is part of the NYS HELPS program. No examination is required.
