Summary
Under occasional supervision, performs technical data processing and clerical duties of moderate variety and complexity to maintain accurate and up-to-date student records. Provides assistance to the supervisor, co-workers, students, and the general public as required.
Reports To Assistant Principal and Principal or other school administrator.
Qualifications
Associate’s degree (AA), vocational technical degree, or specialized training equivalent to satisfactory completion of two years of college education in computer technology, data processing, or a closely related field, supplemented by 9–12 months of related experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
Advanced written and verbal communication skills.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Web Publishing).
Strong multi‑tasking and time‑management skills.
Good analytical skills.
The ability to identify problems and evaluate resolutions for a positive outcome.
Strong leadership and supervisory skills.
Good decision‑making ability and judgment.
Discretion and confidentiality are crucial.
Ability to be on call and/or work overtime as needed to perform all job functions.
Performance Responsibilities Provides assistance to supervisor, co‑workers, students, and the general public as required.
Essential Duties And Responsibilities
Compile registration booklets and forms, including program and course descriptions, registration instructions, academic services information, registration calendars and related information.
Process enrollment and withdrawal of students, working closely with counselors and prior schools to obtain accurate student records, especially for credit‑bearing classes.
Provide education verification to colleges, military, state & federal government, outside agencies, and job placement requests.
Provide graduate transcripts as requested.
Maintain accurate paper file systems based on state‑mandated standards for record retention.
Work with outside vendor to facilitate transfer of files to electronic record format.
Gather and enter all essential student information into the computer system, including demographics and updates to student files as needed.
Answer telephone calls and provide accurate information to callers.
Perform routine clerical functions, including typing reports and correspondence, copying and filing documents, sending and receiving faxes, processing mail, etc.
Respond to inquiries and requests for assistance in areas of responsibility.
Operate a variety of equipment, which may include a computer, printer, typewriter, copier, fax machine, telephone, two‑way radio, calculator, scanner, and paper shredder, and use clerical, computer and bookkeeping supplies.
Interact and communicate with the immediate supervisor, co‑workers, other school administrators and staff, district administrators, parents, students, various outside organizations and professionals, and the general public.
Attend meetings, trainings, workshops, etc., as appropriate to enhance job knowledge and skills.
Provide clerical assistance as a backup to other clerical staff.
Perform related duties as required.
Terms Of Employment
240 annual workdays; 7.0 hrs/day (excluding ½ hour unpaid break).
S4 Fort Mill School District Salary Schedule, Non‑Exempt status.
Initial placement on salary schedule, based upon standard formula, considering education and experience.
Evaluation Annual (classified) performance evaluation in accordance with School Board policy.
