Bullis School seeks an energetic and dedicated candidate for the role of

Registrar

to support the School’s academic operations and record-keeping systems beginning as soon as possible.

This full‑time, 12‑month, benefit‑eligible position reports to the Head of Upper School and works closely with the Dean of Academics, Database Manager, Upper School Administrative Assistant, and other school leaders to ensure the accuracy, consistency, and integrity of student academic records across all three divisions – Lower, Middle, and Upper School.

While the Registrar supports data and record management for the entire K‑12 program, much of the day‑to‑day work is centered in the Upper School, where the role serves as a key member of the academic office team. Responsibilities include coordinating Upper School course registration, overseeing student records, and building the master schedule. The Registrar is also responsible for running grades and comments, producing final report cards, and maintaining student files, while providing direct support to the academic office. The successful candidate will be a proactive problem solver – highly organized, detail‑oriented, and an exceptional communicator. Handling confidential information with discretion is essential.

Essential Functions Academic Records and Reporting

Oversee the 9‑12 student information system in collaboration with the Database Manager.

Responsible for building the Upper School Master Schedule & special schedules under the direction of the Registrar or the Dean of Academics.

Work closely with the Admissions team, Business Office, and Database Manager to maintain and issue accurate student records.

Review incoming student files with the Dean of Academics and Co‑Directors of College Counseling to verify credit requirements for graduation as accepted to Bullis, and ensure prior coursework is entered in the database for transfer students, including official transcripts.

Work with the Dean of Academics, Head of Upper School, Department Chairs, and teachers to generate all academic grade reports and the posting of grade reports to parent and student portals.

Obtain grade reports (including grades, effort grades, exam grades, and comments) at each grade reporting period from department chairs and the Dean of Academics.

Transmit grade reports to the student and parent portals on Veracross for report cards and transcripts.

Exams

Coordinate the Upper School trimester exam process with the Dean of Academics, including managing exam scheduling and student rosters.

Course Registration

Communicate details and logistics of the Upper School course registration process with the Dean of Academics.

Partner with the Dean of Academics and Head of Upper School to work with new students and families on course selection.

Athletics and Activities

Coordinate with the Athletic Department and activity leaders each trimester to maintain accurate and up‑to‑date student athletic and activity enrollment and credits, including on trimester report cards and transcripts.

Miscellaneous Responsibilities

Input field trip event and attendance into Veracross; provide attendance support for Upper School Administrative Assistant.

Assign Blue/Gold teams and lockers to students.

Produce and track Middle and Upper School transcripts as requested.

Oversee textbook ordering with divisions, department chairs, and the school bookstore.

Oversee the archive room and general maintenance of student files.

Work with divisional offices to help organize student recognition ceremonies.

Run student honor roll and high honor roll letters.

Assist with and attend Upper School Back‑to‑School evening (September), New Parent/Student Night (April), and award and graduation ceremonies (end of May/June).

Notify “Custody Alert” staff when new custody orders are received for grades K‑12, with details.

Other Duties

Other tasks as assigned by the Dean of Academics and division heads.

Excellent written communication skills, including spelling, punctuation, and grammar, as well as composition and editing of correspondence and memos.

Education and Experience

High School diploma or equivalent, required.

Bachelor’s Degree preferred.

Experience in school settings preferred.

Facile with technology and comfortable with information systems; high competency in Veracross, Canvas, Excel, Google apps, and other software programs as needed.

Compensation and Benefits Competitive compensation with an hourly rate of $36 – $38.
