Responsibilities

Formats, composes and types correspondence and other documents from written drafts and dictating equipment on routine to moderately complex legal documents and confidential matters.

Gathers, reviews, and verifies case documentation.

Develops and secures evidence and documentation.

Prepares for dispositions and trials.

Coordinates witness travel.

Prepares subpoenas.

Secures defendants from other jurisdictions to resolve pending charges.

Conducts investigative research.

Monitors interns and temporary personnel in legal functions.

Assists attorneys, witnesses and victims with coordination of criminal and civil case matters and documents for court proceedings.

Facilitates compliance with criminal and civil procedures in accordance with state and federal statute.

Maintains statutorily required confidentiality of case matters.

Verifies and validates court personnel and attorneys.

Files court documents both electronically and physically.

Receipts and processes emotionally traumatic and graphic material.

Enters data and tracks statistical information.

Observes witness and victim interviews.

Processes criminal and civil case management documents.

Disseminates dispositional information.

Provides input and recommendations for revisions to procedure manuals.

May answer phones.

Performs other duties as assigned.

Required Knowledge, Skills & Ability

Considerable knowledge of Business English, spelling, mathematics, punctuation and grammar.

Considerable knowledge of office practices and procedures.

Considerable knowledge of legal procedures and terminology.

Knowledge of audio/visual equipment and software programs.

Ability to use a word processor, computer systems and other office machines.

Ability to prepare reports.

Ability to compose correspondence dealing with legal and complex matters.

Ability to maintain composure working with individuals in a heightened emotional state under strict time constraints.

Ability to field complaints and concerns from the public specific to the office and Director.

Ability to understand legal procedures and terminology.

Ability to exercise sound independent judgment on a variety of problems in accordance with established departmental policies and procedures.

Ability to prioritize, plan and carry out assignments.

Ability to work safely and support the culture of workplace safety.

Ability to communicate effectively with law enforcement agencies, court personnel, victim witness advocates, defense counsel, witnesses, victims, defendants, probation, pretrial services, other county departments and the public.

Ability to establish and maintain effective working relationships with employees, other agencies, and the public.

Ability to follow written and verbal instructions.

Ability to communicate effectively verbally and in writing.

Required Education & Experience High school diploma or GED and four (4) years’ experience as a legal secretary or secretarial experience in a legal environment, which included working with legal procedures and preparing legal documents.

Additional Requirements

Bilingual – Pima or Maricopa language preferred.

Required to pass a background check and fingerprint clearance as a condition of employment and must continue to maintain throughout duration of employment.

Tribal Driving Permit can be required.
