Position summary We are seeking a highly organized, proactive Legal Assistant to support a busy commercial litigation team handling complex matters in state and federal courts and arbitration. The ideal candidate has substantial courtroom/filing experience, strong document management skills, and the ability to keep multiple matters litigation‑ready in a fast‑paced firm environment.
Key responsibilities
Provide substantive litigation support for complex commercial matters in state and federal courts and arbitration
(document preparation, filing, calendaring, docketing).
Prepare and manage pleadings, discovery, motions, briefs, exhibit binders, and hearing/trial materials.
Perform rule‑based calendaring and deadline tracking (court rules, arbitration timelines, service deadlines).
E‑file documents with courts and arbitration panels; coordinate service of process and proof of service.
Maintain and organize matter files in document management systems (NetDocs preferred); assist with Clio matter entries and time/billing as needed.
Coordinate depositions, mediations, hearings, and trial logistics (vendor scheduling, travel arrangements, court reporter coordination, exhibit preparation).
Draft routine correspondence and memos; proofread and format pleadings to firm standards.
Manage incoming discovery and document productions: intake, Bates stamping, indexing, privilege logs, and production loading.
Assist with trial preparation: assemble trial binders, exhibit lists, witness notebooks, demonstratives, and courtroom equipment setup.
Liaise professionally with clients, opposing counsel, court staff, mediators/arbitrators, and vendors.
Support attorneys with administrative tasks to ensure matters are prepared and deadlines are met.
Required qualifications
3–6+ years
experience as a litigation legal assistant/paralegal supporting commercial litigation (or equivalent experience).
Demonstrated experience with state and federal court procedures and arbitration practice.
Strong competency with e‑filing systems, court rules, and service requirements.
Excellent document drafting, proofreading, and formatting skills.
Proven ability to manage heavy litigation caseloads, prioritize, and meet strict deadlines.
Professional phone manner and strong written communication skills.
High level of discretion and ability to handle confidential client information.
Preferred / desirable
Hands‑on experience with NetDocs and Clio (or similar systems).
Prior exposure to complex commercial cases (contracts, business disputes, post‑closing litigation, etc.).
Experience coordinating trials and working directly with court clerks and arbitration administrators.
Paralegal certification or relevant legal education is a plus.
