Job Responsibilities
Financial Oversight
Assist in the formulation of budgets.
Stay within the established budget guidelines.
Ensure all rents are collected when due and posted in a timely manner. Make sure that all bank deposits are made immediately and reported in the appropriate systems.
Perform evictions, utility cut-offs and landlord liens as required on delinquent rents.
Submit and approve all invoices in the appropriate system for timely payment.
Complete month-end procedures and reports including deposit accounting, variances, expiring leases, write off register, receivable aging, security deposit activity, gross potential rent.
Use and safeguard the property credit card in accordance with accounting policies and deadlines.
Personnel & Leadership
Hire, train, empower, motivate, supervise, discipline (including documentation) and terminate on-site staff as needed and with leadership and HR approval to achieve operational goals. Includes new employee orientation, performance reviews, timesheet approval, and adherence to employee procedures.
Conduct ongoing training with office staff; e.g., marketing activities, leasing paperwork, workplace safety. Provide leadership, coaching, recognition and build professional relationships.
Administrative/Office/Compliance
Maintain lease files current and compliant with MFTE, Section 8 or other affordable program requirements.
Open the office on schedule and maintain the office and model apartments.
Attend scheduled corporate management meetings (quarterly).
Maintain records of management activity and submit required reports to corporate weekly and monthly.
Prepare for audits and complete annual reporting.
Resident Relations
Foster a true sense of community and maintain positive customer service.
Inspect move-ins/move-outs with residents and review notices to vacate to determine causes.
Implement policies/procedures to maintain resident communications (e.g., complaints, service requests).
Maintenance
Inspect the property and verify vacant apartment status.
Coordinate with maintenance to ensure timely reconditioning of apartments after move-out.
Oversee vendor/contractor communications and ensure insurance certificates are in place.
Marketing/Leasing
Conduct market surveys and provide trend information. Welcome and show property to prospective residents; handle inquiries and paperwork.
Stay aware of market conditions and trends.
Safety and Risk Management
Report incidents; ensure workers' compensation and safety program compliance.
Familiarize with Thrive policies and health/safety programs.
Complete safety checklists with maintenance and hold monthly safety meetings.
General
Perform duties in accordance with company policies and procedures.
Perform other duties as assigned by the Regional Manager.
Desired Skills & Experience
3+ years of experience in property management or equivalent
6+ months supervisory experience with demonstrated leadership
Certified Apartment Manager (CAM) preferred
High School Diploma or equivalent preferred
Experience with Yardi/CRM and On-Site preferred
Accuracy in reporting and overseeing a budget
Experience in daily pricing and market trends
Desired Competencies
Detail oriented with the ability to provide accurate and timely reports
Understanding of property budgeting, accounting and expense control
Ability to work in a fast-paced, customer service oriented environment
Understanding of industry terms; ability to de-escalate conflict
Respect for diverse backgrounds; communicate with residents, vendors and staff clearly
Team player who can also work independently; good problem-solving
Strong time management, organization and prioritization
Proficient in Microsoft Word, Outlook and Excel
English literacy with proper grammar and punctuation
